About the Associate Program Coordinator-Outpatient Care Management Unit Manager Role
Johns Hopkins Aramco Healthcare (JHAH) is seeking an experienced Associate Program Coordinator to manage the Outpatient Care Management Unit. This full-time position is based in Dhahran and requires a candidate with 5-10 years of relevant experience.
Role Overview and Scope
The Associate Program Coordinator provides clinical direction and leadership for assigned nursing and clinical services. This role involves coordinating and managing the activities of the assigned division or department, with overall 24-hour responsibility. Key duties include developing department goals, objectives, evidence-based patient care practices, policies, and procedures within a cost-effective framework. The position also entails providing organizational guidance, collaborating with managers, and preparing and monitoring budgets and quality management initiatives. The incumbent holds responsibility and authority for all activities within their assigned division/department, including forecasting patient care needs and evaluating patient care systems and programs. Accountability extends to the administrative and fiscal management of the division/department, meeting Key Performance Indicators (KPIs), and ensuring patient satisfaction and staff engagement.
Key Responsibilities
- Perform managerial functions common to the division/department level as established by JHAH.
- Manage and provide leadership that aligns with the JHAH mission, vision, KPIs, and organizational standards.
- Effectively manage direct reports, delegating appropriately and holding them accountable for objectives and targets.
- Provide leadership, supervision, functional guidance, and developmental activities for nursing and clinical services managers.
- Ensure adherence to personnel policies and seek specialist advice when performance issues are identified.
- Offer guidance and support to team members and managers on Human Resource issues and disciplinary matters.
- Promote a positive work environment conducive to productive, collegial relations among the healthcare team.
- Collaborate with the Chief Nursing Officer and managers to build a talent pool for future performance by identifying manpower requirements and participating in recruitment and selection.
- Work with the senior management team to implement key initiatives, managing the impact of change within the team.
- Promote the involvement of Nursing & Clinical Services in Community Health Awareness Programs.
- Take responsibility, alongside managers, for the clinical education and professional development of the division/department.
- Conduct meetings with managers to communicate information, address quality issues, and problem-solve.
- Contribute as a member of the senior management team.
- Support and monitor KPIs and Quality Improvement / Risk Management interventions within the division/department.
- Stay current with nursing and clinical practice developments and trends.
- Develop and implement effective educational programs to assist staff in professional progression.
- Assure staff involvement in decision-making and create a positive environment for professional growth.
- Perform annual appraisals on managers/assigned staff and review appraisals of all staff.
- Educate and mentor staff on leadership principles and foster a learning environment.
- Function as a staff advocate.
- Participate in multidisciplinary committees and lead Nursing & Clinical Services Division/Department committees.
- Function as a member of the Nursing & Clinical Services Executive Committee, supporting and communicating its decisions.
- Develop staffing plans that recognize diverse skill levels and patient needs, ensuring appropriate staffing for acuity 24 hours a day.
- Maintain 24-hour accountability for problem-solving.
- Monitor and evaluate appropriate staff utilization in collaboration with hospital-wide stakeholders.
- Collaborate to ensure consistency in patient care planning for expected outcomes across and within departments.
- Manage the manpower budget and financial planning for the area.
- Develop, measure, and monitor division/department operational performance metrics, including LOS, overtime costs, vacancy, and turnover rates.
- Maintain current knowledge of and ensure compliance with all regulatory and professional standards of care, including CBAHI, JCI, and IHI.
- Implement corrective action plans to embed quality of care into clinical practice and promote the Quality Improvement (QI) program.
- Assess and forecast department resource needs and allocate resources/budgets to meet objectives.
- Understand the needs, drivers, and constraints of various stakeholder groups and apply this understanding in communications and decisions.
- Make significant expenditures within established parameters.
- Direct and implement revenue-enhancing and/or cost-reduction measures.
- Manage subordinate managers and/or professional/technical employees.
- Achieve work objectives primarily through impact and influence on others.
- Identify at least one potential successor to the Division/Director role.
- Perform other miscellaneous related duties as requested by the Chief of Nursing Officer.
Qualifications and Requirements
- A Master's degree is required.
- A Bachelor's Degree in Nursing or a relevant specialty is required.
- A minimum of 9 years of clinical nursing experience post-registration, including at least three years of management experience in a clinical specialty.
- Expert clinical knowledge of the assigned specialty is required.
- Advanced training or certification in the specialty is required.
- Current licensure as a professional registered nurse.
- Fluent spoken and written English.
- Spoken Arabic is desirable.
- Professional experience demonstrating competency in clinical management and leadership skills.
- The ability to establish positive working relationships with all healthcare team members in a multinational setting.
