About the Role

National Medical Care Company (Care) is seeking a Medical Records Supervisor to join their team in Riyadh. This full-time position involves overseeing all operational aspects of medical records and reports, ensuring adherence to established standards and efficient workflow. The role requires 5-10 years of relevant experience.

Key Responsibilities

  • Supervise all operational dynamics within medical records and reports, including file creation, management, and maintenance.
  • Oversee clinical coding, discharge summary completion, file extraction, and confidentiality.
  • Manage the issuance of medical reports and coordinate with physicians.
  • Schedule the team for 24-hour operations to ensure continuous service.
  • Plan, develop, and maintain the Medical Records system to meet hospital goals and standards set by CBAHI & JCIA.
  • Prepare technical reports on work volume, procedures, and services; coordinate the preparation of progress reports and analyses.
  • Implement policies and procedures for processing medical records (OP & IP), releasing patient information, and managing incomplete records.
  • Maintain inventory of materials and equipment for the Medical Record Department within budgetary guidelines.
  • Ensure the implementation of Quality Assurance and Safety protocols to comply with internal and external regulations.
  • Train, supervise, and evaluate Medical Record Technicians; develop work performance standards and provide technical expertise.
  • Organize and operate Medical Records & Reports services (OP & IP) in alignment with standards and new technology.
  • Develop and deliver staff education and development programs, including new hire orientation and skill upgrades.
  • Approve or recommend annual leave, educational leave, and training assignments.
  • Assist medical staff in complying with JCIA & CBAHI requirements for medical record review.
  • Supply data and support physicians in conducting research studies.
  • Recommend employment promotion and release of personnel.
  • Interface with other departments to coordinate and resolve problems.
  • Submit monthly reports to Hospital Administration and additional reports as required.
  • Submit Health Care Statistics to the Manager of Health Information Management (OP & IP) on a monthly, quarterly, half-yearly, and annual basis.
  • Maintain the Medical Records code of ethics.

Reporting Structure

The Medical Records Supervisor reports directly to the Director of Health Information Management. This role supervises Assistants, Clerks, Encoders, and Orderlies.

Qualifications and Experience

  • A minimum of 7 years of experience in medical records supervision or a related field.
  • Demonstrated ability to plan, develop, and maintain medical records systems.
  • Experience with JCIA & CBAHI standards and compliance.

Work Environment

This is a full-time position based in Riyadh, requiring supervision of a team operating 24 hours a day. The role involves ensuring a high quality of medical treatment, compassion, and understanding for all patients.
