We are seeking a dedicated Sales Administrator to join our team in Riyadh, Saudi Arabia, on a full-time basis.

The Role of Sales Administrator

The Sales Administrator plays a crucial role in supporting the boutique's operations to ensure an elevated client experience and maximize sales opportunities. This position focuses on achieving excellent back-of-house efficiency and productivity, fostering team spirit, and providing essential support to colleagues in the daily running of the boutique. The Administrator will demonstrate strong attention to detail and contribute to achieving key performance indicators.

Core Responsibilities

  • Oversee back-office operations, including data entry into designated software systems.
  • Manage product receiving at stores, ensuring accuracy between physical items and corresponding invoices, and addressing discrepancies with Commercial Company Administration.
  • Supervise store stock levels, storage management, and coordinate all inventory-related activities such as cycle counts, quarterly inventories, and annual audits.
  • Conduct after-sales service tasks, including managing repairs, liaising with repair centers, organizing shipments, and maintaining communication regarding item repair status to inform sales staff.
  • Handle tagging processes associated with all items from receipt to repricing.
  • Serve as the primary point of contact for IT/system suppliers regarding hardware or software malfunctions.
  • Coordinate with suppliers for store maintenance concerns and provide timely updates to the Store Manager.
  • Manage purchase orders and assist sales staff throughout the sales process, from client reception to finalizing payments and packaging.
  • Understand and apply VAT processes and procedures relevant to sales operations.
  • Assist with e-commerce related tasks, including shipping coordination, product labeling, and packaging.
  • Oversee administrative functions for Marketing events and exhibitions, ensuring alignment with company standards and contributing to brand reputation.
  • Act as the primary point of contact between exhibition management and the Middle East and Africa India (MEAI) team.
  • Functionally lead the in-store admin team, coordinating workflow and supervision.
  • Coordinate the implementation of new administrative processes and act as a referent for inventories, adjustments, inversions, and mini stock counts.
  • Act as the referent for any maintenance issue, operational matter related to the store, and store suppliers.
  • Manage the store schedule (supervised by management) and back office stock management and allocation.
  • Supervise, organize, and manage the flow of after-sales products in-store.

Required Experience

Candidates for this full-time role should possess 3-5 years of relevant experience in administrative support, retail operations, or a similar capacity within a luxury environment. This experience should demonstrate a strong understanding of back-office processes, inventory management, and client service support.
