About the Role

Viceroy Engineering is seeking a Sales Administration Assistant to join our team in Riyadh, Saudi Arabia. This full-time position is an individual contributor role, providing essential sales administrative support for the Saudi Arabian market. The assistant will be responsible for supporting sales activities related to security screening systems for specific market verticals, ensuring smooth operations and efficient sales processes.

Key Responsibilities

  • Support the Sales Manager with sales administration for new business, engaging with both new and existing customers.
  • Prepare comprehensive commercial and technical responses for assigned market verticals and territories, including qualitative and quantitative information for proposals.
  • Proactively understand market and business drivers, providing strategic inputs to the Sales Manager and actively contributing to territory pipeline development.
  • Deliver high-standard work for new opportunities, focusing on continuous improvement and identifying areas for value addition.
  • Coordinate proactively with all internal departments to ensure a smooth flow of business operations.
  • Track leads and opportunities to facilitate timely follow-up actions and closure of pending items.
  • Monitor order status, shipments, invoicing, and payment milestones to ensure efficient order execution.
  • Track key performance indicators (KPIs) such as order backlog, conversion rates, delivery timelines, and overall sales performance.
  • Collaborate closely with Programs and Service teams to ensure profitable completion of opportunity deliverables.

Sales Process Support Activities

The Sales Administration Assistant will play a crucial role in supporting various aspects of the sales process, including but not limited to:

  • Arranging and conducting product demonstrations for prospective clients.
  • Participating in trade exhibitions and conferences as required.
  • Preparing accurate quotations for customers and prospects.
  • Contributing to major proposals developed for the territory.
  • Participating in product and sales skills training to enhance capabilities.
  • Contributing to both internal and external meetings.

Qualifications and Experience

  • A minimum of 0-1 years of relevant experience in sales administration or a similar support role.
  • Strong organizational and administrative skills, with attention to detail.
  • Ability to work effectively as an individual contributor and collaborate with various internal teams.
  • Proficiency in preparing commercial and technical documentation and reports.

Work Environment

The primary workstation for this role may be in an office setting or a home office. The individual will be required to work at internal company offices, customer and/or prospect offices, or at trade shows as business needs dictate.
