About the Role

alfanar is seeking a Specialist, Purchasing to join its team in Riyadh. This full-time role requires 2-5 years of experience in procurement and supply chain management. The Specialist will be responsible for managing procurement processes, negotiating contracts, and fostering supplier relationships to ensure the cost-effective and timely acquisition of goods and services. A key aspect of this role involves sourcing and developing local and foreign markets to meet organizational demands.

Key Purchasing Accountabilities

The primary responsibilities of the Specialist, Purchasing include:

  • Reviewing and delegating purchase requisitions to members of the procurement team.
  • Monitoring and supporting procurement team members to ensure timely task fulfillment.
  • Conducting market research to identify reliable sources for new, strategic, and project requirements.
  • Organizing and participating in technical and commercial discussions with suppliers.
  • Verifying documents and creating new vendors within the system.
  • Reviewing historical data to recommend optimal sources for RFQs/tenders and obtain price proposals.
  • Analyzing offers and historical data, then negotiating with suppliers to finalize commercial comparisons and recommendations.
  • Processing approvals with relevant authorities and committees.
  • Preparing commercial comparisons for strategic items, considering technical and commercial aspects such as specifications, quality, delivery time, technical remarks, historical details, and prices.
  • Converting purchase requisitions into purchase orders, incorporating technical and commercial recommendations, and following up for approvals.
  • Following up with suppliers to ensure fulfillment of issued purchase orders in accordance with organizational requirements.
  • Verifying the receipt and completion of purchase orders.
  • Resolving issues related to quality, quantity, and shipment errors through appropriate channels.
  • Processing and coordinating payment needs, including advances, collections, and letters of credit.
  • Creating, checking, and verifying Letters of Intent and contractual agreements with suppliers.
  • Conducting supplier evaluations at pre-determined intervals based on established KPIs.

Reporting and Compliance

The Specialist is also responsible for maintaining accurate records and ensuring adherence to company standards:

  • Preparing and archiving all necessary reports and documents.
  • Publishing and circulating required reports and documentation.
  • Ensuring the implementation of management systems.
  • Adhering to quality, safety, and environmental policies.

Team Leadership and Operational Excellence

This role involves contributing to team development and operational efficiency:

  • Training subordinates and fostering an effective team environment.
  • Providing leadership, coaching, and direction to subordinates in all aspects of their work.
  • Delegating assignments and ensuring fair distribution of tasks to maintain team morale and motivation.
  • Performing planned activities to meet operational and development targets according to schedules.
  • Utilizing resources effectively to achieve objectives within efficient cost and time parameters.
  • Providing periodic reports detailing deviations and the execution of planned tasks.
  • Resolving operational problems and escalating complex issues as necessary.
  • Ensuring quality requirements are met to develop effective quality control and processes, including specifications for products, processes, or related activities.
  • Coordinating well-defined written systems, policies, and procedures.
  • Identifying and pursuing opportunities for process automation.

Required Experience and Skills

Candidates for this role should possess 2-5 years of relevant experience in purchasing or procurement. Essential skills include strong negotiation abilities, meticulous attention to detail in document verification and comparison, effective supplier relationship management, and a proactive approach to problem-solving. The ability to manage multiple tasks, work collaboratively within a team, and contribute to process improvements is also critical.
