About the Role

Qiddiya is seeking an experienced Executive Assistant to provide high-level support to senior leadership. This full-time position is based in Riyadh, Riyadh Province, and requires 5-10 years of experience. The Executive Assistant will serve as a central coordination point, ensuring the seamless execution of strategic priorities and effective communication across departments.

Core Responsibilities

The Executive Assistant will manage complex and dynamic calendars, prioritizing strategic initiatives and leadership engagements. This includes anticipating and resolving scheduling conflicts to optimize leadership time. The role also involves preparing high-quality briefing materials, such as background notes, summaries, and decision-support documents, ensuring all executive communications are professional and accurate.

Strategic Execution and Follow-Up

A key aspect of this role is tracking the execution of leadership priorities and cross-functional initiatives. This involves maintaining structured trackers and dashboards to monitor progress, deadlines, and accountability. The Executive Assistant will follow up with internal stakeholders to ensure timely delivery and escalate delays as necessary, ensuring that strategic objectives are met efficiently.

Governance and Stakeholder Management

This position requires coordinating executive committees, steering committees, and governance forums, including preparing agendas aligned with business priorities. The Executive Assistant will document key decisions, risks, and action items, ensuring full traceability and closure. Acting as the primary coordination point between leadership and internal/external stakeholders, the role demands professionalism and discretion when handling confidential information.

Operational Excellence

The Executive Assistant will maintain structured documentation, filing systems, and records. Responsibilities include coordinating logistics for executive meetings, events, and external engagements. Continuous improvement of administrative and coordination processes is expected to enhance operational efficiency and support leadership effectively.

Performance Expectations

Success in this role will be measured by the optimal utilization of executive time through effective scheduling and prioritization, and a high completion rate of action items within agreed timelines. Delivering high-quality executive materials with minimal rework, demonstrating proactive stakeholder coordination, and ensuring governance meetings are structured, documented, and tracked to closure are also key performance indicators.
