About ReLytics and the File Clerk Role

ReLytics is seeking a full-time Remote File Clerk based in Al Madinah, Medina. This entry-level role, suitable for candidates with 0-1 years of experience, is crucial for maintaining accurate, organized, searchable, and compliant digital and scanned records across various teams.

Role Overview

The File Clerk will support multiple departments by managing the intake, validation, and classification of documents. This position involves applying standardized naming conventions, ensuring proper file repositories, and maintaining an audit-ready trail of all processed records. The role operates in a high-volume environment where accuracy and confidentiality are paramount.

Key Responsibilities

  • Receive files from various sources including shared inboxes, portals, internal ticketing tools, and cloud folders.
  • Confirm document types, required fields, signatures, and attachments, then index each record using standard metadata (*, client/project ID, date, document category, version, region).
  • Apply standardized naming conventions and folder structures, converting formats as needed (*, PDF merge/split, image-to-PDF, compressing, version labeling).
  • Maintain controlled libraries for final, draft, and archived documents, including the application of retention tags.
  • Perform daily spot checks to identify duplicates, misfiles, missing pages, and unreadable scans, flagging exceptions and routing them to the correct owner with clear notes.
  • Maintain error logs and contribute to process improvements aimed at reducing rework.
  • Handle sensitive records with strict access controls and confidentiality, adhering to retention schedules, legal hold instructions, and deletion/archival rules.
  • Support audits by efficiently retrieving records and documenting chain-of-custody steps.
  • Coordinate with HR, Finance, Operations, Legal, and Customer teams to clarify file requirements and provide status updates on backlog, turnaround time, and processing issues.

Tools and Technologies

The File Clerk will utilize various tools and platforms to perform daily tasks, including:

  • Cloud storage solutions such as Google Drive, SharePoint, or Dropbox.
  • Document management tools like Adobe Acrobat or equivalents.
  • Spreadsheet applications.
  • Ticketing systems such as Jira, Asana, or ServiceNow.
  • E-signature platforms and basic office productivity tools.

Qualifications and Experience

  • 0-1 years of experience in records management, administrative support, clerical work, or document control is preferred.
  • Demonstrated strong attention to detail and the ability to consistently follow naming and filing rules.
  • Comfortable handling confidential information and adhering to strict procedures.
  • Basic computer proficiency, including familiarity with file systems, spreadsheets, PDF documents, and collaboration tools.

Work Environment

This is a full-time, remote position where the ability to work independently while collaborating with various teams is essential. The role requires meticulous attention to detail and a commitment to maintaining confidentiality and accuracy in a fast-paced, high-volume digital environment.
