About the Project Assistant Role

UNDP Careers is seeking a Project Assistant to support a strategic cooperation initiative between the Ministry of Foreign Affairs (MoFA) and the United Nations Development Programme (UNDP). This project focuses on enhancing strategic planning, governance, financial management, and talent development within the Ministry. The role is based in Riyadh and is a full-time position.

Project Context and Objectives

This project aims to strengthen the Ministry of Foreign Affairs' capacities in strategic planning and foresight, improve governance, financial management, and operational efficiency, and advance institutional capabilities in talent development, leadership, and performance management. The approach ensures national ownership by involving MoFA throughout the project lifecycle.

Key Responsibilities

The Project Assistant will provide crucial support to the MoFA-UNDP project, contributing to program activities, stakeholder engagement, and monitoring of results. Key duties include:

  • Providing administrative and technical support to the Head of the Partnership Office for daily operations and joint projects with UNDP.
  • Following up on project implementation under the signed Project Document, coordinating procedures with relevant parties.
  • Managing official correspondence and liaising with internal and external departments to ensure effective information flow.
  • Supporting coordination with government counterparts, UNDP, and other project stakeholders.
  • Assisting with Steering Committee matters, including correspondence, documentation, and follow-up on decisions.
  • Contributing to the development of the Partnership Office governance framework and Steering Committee Rules of Procedure.
  • Maintaining and organizing project files and documentation.
  • Supporting the preparation of periodic project reports by gathering information and coordinating inputs.
  • Reviewing project-related documents for compliance with established guidelines.
  • Assisting with UNDP-managed contracting and procurement procedures, including request processing and submission coordination.
  • Contributing to knowledge networks and communities of practice.
  • Performing other duties as assigned within the functional profile.

Required Competencies

Candidates should demonstrate core competencies including achieving results, innovative thinking, continuous learning, adaptability, determination, and the ability to engage and partner effectively, while enabling diversity and inclusion. Cross-functional and technical competencies include strategic thinking, effective decision-making, negotiation and influence, project management, communication, and relationship management.

Institutional Arrangement and Experience

The Project Assistant will report to the UNDP Programme Analyst and Head of the UNDP strategic partnership office on contractual, performance management, and administrative matters. The role requires one year of relevant experience.
