About Multilink Management Consultants and the Role

Multilink Management Consultants is seeking an experienced Administrative Project Manager. This full-time role, based in Al Jubail, Eastern region, involves overseeing all project administration functions for large-scale Oil & Gas EPC projects. The successful candidate will ensure smooth coordination between project teams, clients, subcontractors, and corporate departments, while maintaining compliance with project requirements, company policies, and contractual obligations.

Role Purpose and Scope

The Administrative Project Manager is responsible for managing all project administration activities throughout the entire project lifecycle. This position requires a professional capable of coordinating effectively with various internal and external stakeholders to facilitate efficient project execution and provide comprehensive administrative support for complex engineering, procurement, and construction initiatives.

Key Responsibilities

  • Manage all project administration activities across the project lifecycle.
  • Coordinate with Project Managers, Construction Managers, Engineering, Procurement, HR, Finance, and Commercial teams to ensure efficient project execution.
  • Maintain project documentation, records, correspondence, and document control systems.
  • Monitor project manpower mobilization, onboarding, accommodation, transportation, and administrative support.
  • Prepare and manage project reports, dashboards, meeting minutes, and progress updates.
  • Coordinate with clients and subcontractors regarding administrative and contractual documentation.
  • Ensure compliance with company policies, client requirements, and project procedures.
  • Support project budgeting, cost tracking, invoices, timesheets, and resource planning.
  • Oversee office administration, logistics, travel arrangements, and site facilities.
  • Manage vendor and subcontractor documentation and coordinate approvals.
  • Support audits, inspections, and quality management activities.
  • Identify administrative risks and implement process improvements to enhance project efficiency.
  • Lead and supervise the project administration team to ensure timely delivery of administrative support.

Required Qualifications and Experience

  • Bachelor's Degree in Business Administration, Engineering, Project Management, or a related discipline.
  • Minimum 10–15 years of experience in Project Administration within Oil & Gas, Petrochemical, or EPC projects.
  • Minimum 5 years in a managerial or supervisory role.
  • Strong experience in large-scale EPC construction projects.

Preferred Background

  • Experience working with Saudi Aramco, SABIC, ADNOC, or other major Oil & Gas clients.
  • Gulf/Middle East experience.
