Job Description

Key responsibilities

  • Manage day-to-day office administration, correspondence, filing, and supplies.

  • Maintain organized records of contracts, purchase orders, letters, approvals, and project documents.

  • Track document submissions, pending approvals, and expiry or renewal dates.

  • Coordinate administrative requests between operations, tendering, procurement, finance, HR, and site teams.

  • Prepare letters, meeting minutes, reports, and other routine documents.

  • Support interview scheduling, employee onboarding paperwork, and attendance records.

  • Follow up with the responsible team on company registrations, licenses, insurance, and other official documents.

  • Maintain confidentiality of company, employee, and client information.

  • Follow-up on emails with clients and prepare quotations.

Requirements

  • Bachelor’s degree or diploma in Business Administration or a related field.

  • At least 3 years of administrative experience, preferably in a contracting, construction, engineering, or trading company.

  • Strong skills in Microsoft Office, particularly Excel, Word, and Outlook.

  • Good written and spoken English; Arabic is an advantage.

  • Strong organization, follow-up, and communication skills.

  • Ability to handle several tasks and meet deadlines with limited supervision.

  • Experience with document control or Saudi company administration is an advantage.
