About the Role

* Renal Care Saudi Arabia is seeking an Administrative Manager for its clinic located in Dhahran, Eastern Region. This is a full-time position requiring 0-1 years of experience. The role involves managing administrative operations and ensuring efficient patient flow and service delivery.

Key Responsibilities

  • Greet and welcome patients in a friendly and professional manner.
  • Manage phone inquiries courteously, address questions, and provide pertinent information while maintaining strict confidentiality of all patient and staff information.
  • Schedule patient appointments and manage the appointment calendar for optimal resource utilization.
  • Confirm patient appointments and manage reminders, cancellations, and rescheduling.
  • Maintain an organized and clean reception area.
  • Address patient inquiries and concerns with empathy, escalating issues to appropriate staff when necessary.
  • Assist in managing daily operations, including coordinating schedules and meetings for clinical staff.
  • Maintain and update patient records and documentation in adherence to privacy regulations and clinic policies.
  • Prepare and distribute internal communications and reports as needed.
  • Collaborate with the Revenue Cycle Management Department to improve communication and operational workflow for insurance patients.
  • Verify patient insurance eligibility and coverage, obtaining necessary authorizations.
  • Collect patient co-payments and outstanding balances accurately and securely.
  • Participate in patient experience initiatives by collecting feedback and suggesting improvements.
  • Ensure all patient communications reflect the clinic's commitment to quality care and service excellence.
  • Ensure adherence to all relevant health and safety regulations and standards.
  • Assist in maintaining compliance with HIPAA regulations, safeguarding patient confidentiality and data security.
  • Mentor and guide new staff or interns in administrative tasks, patient interaction, and office procedures.
  • Maintain a clean, safe, and well-organized work environment.
  • Ensure appropriate safety measures, including personal protective equipment, are in place.
  • Participate in staff meetings and attend in-service and continuing education offerings.
  • Promote a team effort and perform duties in accordance with company policies and procedures.

Qualifications and Requirements

  • 0-1 years of experience in an administrative role.
  • Familiarity with patient record management and clinic policies.
  • Understanding of privacy regulations, including HIPAA.
  • Proficiency in managing schedules and appointments.
  • Ability to handle patient inquiries and concerns with empathy and efficiency.
  • Knowledge of insurance verification processes is beneficial.
