About the Administrative Assistant Role

Master Works is seeking a full-time Administrative Assistant to join its team in Riyadh. This role provides comprehensive administrative and executive support, focusing on coordinating daily office operations, managing schedules, meetings, and documentation, and ensuring efficient inter-departmental communication. The position is key to supporting business operations through organized record-keeping, report preparation, correspondence management, and travel coordination, contributing to the achievement of operational excellence.

Key Responsibilities

  • Provide comprehensive administrative and executive support to the department and the Chief of Alternative Investments, ensuring smooth and efficient daily office operations.
  • Manage calendars, schedule meetings, coordinate appointments, and organize domestic and international travel, including detailed itineraries and logistics.
  • Prepare, review, and distribute correspondence, reports, presentations, meeting materials, and other business documents with a high level of accuracy and professionalism.
  • Coordinate meetings by arranging logistics, preparing agendas, recording minutes, and following up on action items to ensure timely execution.
  • Manage incoming communications, maintain confidential records and filing systems, and handle sensitive information with discretion.
  • Liaise with internal departments, senior management, external stakeholders, and service providers to facilitate effective communication and support departmental operations.
  • Monitor departmental priorities, support special projects, assist with administrative processes such as expense reports and procurement documentation, and ensure compliance with organizational policies and procedures.

Required Qualifications

  • Bachelor's or Master's degree in Business Administration, Management, or a related field.
  • 10+ years of experience in administrative, executive support, or senior office management roles, preferably supporting high-level executives.

Essential Skills and Competencies

  • Strong executive coordination and stakeholder management abilities.
  • High-level calendar and schedule management capabilities.
  • Proven experience handling confidential and sensitive executive information.
  • Demonstrated exposure to budgeting, procurement, and expense tracking processes.
  • Ability to operate effectively in fast-paced, high-level executive environments.
  • Excellent communication, organization, and problem-solving skills.

This is a full-time position based in Riyadh. The role requires an individual capable of managing multiple priorities and working efficiently within a dynamic executive setting.
