Theeb Rent a Car is a leading vehicle rental company in Saudi Arabia, committed to providing efficient and reliable services. We are currently expanding our team in Jeddah and Makkah and are seeking a dedicated Administrator to support our business sector operations.

Role Summary: Administrator

The Administrator plays a crucial role in organizing and coordinating vehicle operations for the business sector. This full-time position involves managing vehicle delivery, replacements, and ongoing follow-up procedures. The primary objective is to ensure excellent customer service through prompt responses and effective resolution of inquiries and issues, thereby enhancing customer satisfaction and maintaining smooth operational continuity. This role is suitable for candidates with 0-1 years of experience.

Key Responsibilities

• Receive customers and incoming calls, and respond to all inquiries.
• Conduct daily follow-ups with customers regarding new vehicle deliveries, vehicles returned from maintenance, and business sector vehicles.
• Process vehicles for contract closure.
• Review customer-related reports, such as user lists for all leased vehicles.
• Manage external replacements, including system updates, removing users from primary vehicles, and reassigning them after maintenance completion.
• Follow up on incoming requests from departments and coordinate with Customer Management regarding damages, tires, or missing documents (*, accident reports).
• Respond promptly to all incoming customer emails.
• Update and modify user names in the system.
• Coordinate all customer requests received via email with relevant coordinators and follow up until completion.
• Coordinate and provide customer service regarding maintenance, breakdowns, and all related concerns.
• Conduct daily branch inventory and reconcile it with the system, and coordinate with GBS for installing vehicle tracking devices as per system requirements.
• Monitor daily vehicle statuses (new, ready after maintenance, reserve, out of service) and ensure timely closure.
• Ensure out-of-service vehicles are sent to maintenance without delay.
• Notify user management officially via email of vehicle readiness (new or post-maintenance), and communicate with customers via calls and SMS.
• Conduct daily follow-ups using all the above methods until the vehicle is received.
• Handle negotiations and resolve customer issues.
• Monitor daily route lines for the region and ensure they are closed without delay.
• Follow up and complete periodic vehicle inspections for the purpose of renewing operation cards.

Educational Requirements

• A Diploma or Bachelor's degree in Business Administration, Law, or a related field.

Professional Experience

• Previous experience in contracts management, vehicle rental, or the transportation industry is preferred.

Regulatory Knowledge

Candidates must possess strong knowledge of the regulations and requirements of the Transport General Authority (TGA), General Traffic Department (MOROOR), and other regulatory bodies governing the vehicle rental industry.
