About Pladis Global and the Role

Pladis Global, a leading global biscuits and confectionery business, is seeking an Export Specialist to join its team in Jeddah, Makkah, Saudi Arabia. This full-time position is central to managing the company's end-to-end export operations. The role requires 5-10 years of experience in export management and focuses on ensuring full compliance with Saudi and international regulations, accurate documentation, and timely shipment execution across both land and sea, including re-export activities.

Export Documentation and Compliance

The Export Specialist is responsible for comprehensive documentation and strict adherence to regulatory requirements. Key tasks include:

  • Preparing and issuing Proforma Invoices for all export orders.
  • Managing Export Insurance Declarations to ensure all shipments are covered according to company policy.
  • Handling SFDA notifications, Health Certificates, and all other necessary regulatory documents.
  • Ensuring full compliance with Saudi Customs, SFDA, Chamber of Commerce, and country-specific export requirements.

Shipment Execution and Logistics

This role oversees the logistical execution of all exports, ensuring efficiency and timely delivery. Responsibilities include:

  • Preparing loading plans and coordinating effectively with warehouse teams, transporters, and freight forwarders.
  • Arranging bookings for both land and sea shipments and ensuring their timely dispatch.
  • Following up on container movements, transit updates, and confirming deliveries.
  • Coordinating with transporters for cross-border and GCC re-export shipments.

Legalization and Government Processing

The specialist manages the necessary government approvals and legalization processes for export documents:

  • Managing Export Invoice Legalization, Certificate of Origin (COO), and Health Certificate (HC) issuance.
  • Coordinating with the Chamber of Commerce, Ministry of Commerce, and other relevant authorities for document stamping and approvals.

Claims Resolution and Reporting

The role involves resolving export-related issues and maintaining accurate records and performance reports:

  • Handling export claims, including shortages, damages, insurance claims, and documentation discrepancies.
  • Coordinating with freight forwarders, insurance providers, and internal teams to efficiently close claims.
  • Updating and maintaining the Export Tracker with shipment status, documentation, and delivery timelines.
  • Processing and verifying invoices from suppliers and transporters (freight forwarders, express couriers, land transporters).
  • Maintaining and updating Smartsheet for export operations to ensure accuracy and visibility.
  • Supporting monthly reporting for export KPIs, cost tracking, and performance dashboards.

Cross-Functional Coordination and Requirements

Effective collaboration is crucial for this role, which requires working closely with various internal and external stakeholders. Candidates should possess 5-10 years of experience in export operations and demonstrate attributes such as being purpose-led, resilient, positive, agile, collaborative, and accountable.

  • Working closely with Sales Operations, Warehouse, Finance, and Supply Chain teams to ensure a smooth export flow.
  • Supporting customers and distributors by providing shipment visibility, documentation, and assistance with regulatory requirements.
