About KONE and the Role

KONE, a certified Top Employer, is seeking a Facilities, Fleet & Administration Manager to lead end-to-end operations for Facilities, Fleet, Travel, and Administration across KONE Saudi Arabia. This full-time role is based in Riyadh and involves managing offices, staff accommodation, vehicle fleet, travel, and administrative services across all KSA locations. The position requires 5-10 years of relevant experience.

Role Overview and Responsibilities

As the Department Owner for Facilities, Fleet, and Administration in KSA, this role is accountable for the department’s budget, cost optimization, governance, and all related contracts and service providers. The manager will define local requirements and service standards, working in collaboration with Purchasing and Area Category Managers. The position also involves deploying regional Facilities policies and developing KSA-specific guidelines where necessary.

  • Manage day-to-day department operations across all KSA locations, setting priorities and service standards.
  • Oversee all department contracts locally, including scope, SLA, performance terms, cost, variations, and renewals.
  • Provide full line management for the Facilities team, including resourcing, hiring, objective setting, performance reviews, and skills development.
  • Manage supplier relationships and performance against contracted SLAs, conducting reviews and driving corrective actions.
  • Handle all aspects of staff accommodation, including licensing, regulatory compliance, daily operations, maintenance, and utilities.
  • Oversee office leases, fit-out projects, maintenance, reception standards, courier, printer services, and office supplies.
  • Ensure fleet register integrity, allocation, fuel control, maintenance, insurance, lease administration, and disposal.
  • Monitor travel bookings, policy compliance, and spend, ensuring consistent administrative service delivery across all sites.
  • Own the department budget, including planning, forecasting, monthly review, accruals, and variance explanations, while delivering annual savings targets.
  • Ensure all department requirements are processed through correct purchasing channels and within the Delegation of Authority.
  • Collaborate with the HSE department to ensure all venues meet KONE standards.
  • Build and communicate periodic reporting on managed categories, including spend, savings, budget variance, and performance.

Qualifications and Experience

  • Bachelor's degree in Business Administration or a related field.
  • Minimum of 7 years of experience in facilities management, with multi-site responsibility.
  • Minimum of 4 years of experience managing specialist and administrative teams.
  • Proficiency in contract management, including SLA governance, commercial terms, renewals, and supplier performance.
  • Working familiarity with Procurement & Finance processes.
  • Understanding of KSA regulatory requirements for labor accommodation and municipality licensing, with experience dealing with government authorities.
  • Basic skills in SAP or an equivalent ERP system.
  • Proficiency in Microsoft Office and experience using AI and LLM tools in daily work.
  • Demonstrated skills in report building, data analysis, and presentation.
