About the HIM Technician Role

National Medical Care is seeking a dedicated HIM Technician to join their team in Riyadh, Saudi Arabia. This full-time position involves the comprehensive organization and management of patient medical records, ensuring accuracy, accessibility, and confidentiality.

Core Responsibilities

The HIM Technician is responsible for the systematic organization of all patient medical records. Key duties include retrieving and filing medical records for walk-in, ER, and booked outpatient appointments, as well as assembling and analyzing discharged patient records according to established standards (CBAHI and JCIA). This role also involves identifying and flagging missing documents, assigning deficient records to responsible physicians, and maintaining the computerized Medical Record Deficiency system.

Furthermore, the technician will manage delinquent records by notifying physicians of incomplete medical records through reminder letters and forwarding relevant information to administration. The role requires re-analyzing completed medical records before forwarding them for discharge analysis and obtaining necessary counter-signatures. Regular reporting on the status of delinquent records by physician department and deficiency type is also a key responsibility.

Record Management and Maintenance

• Retrieving and filing medical records for various patient types.
• Reviewing and assembling medical records post-retrieval.
• Preparing new patient medical record folders.
• Inserting incoming reports to prevent backlog.
• Maintaining accurate shelving in terminal digit order through file audits.
• Routing records to outpatient and inpatient departments when urgently needed.
• Ensuring files are maintained accurately, neatly, and in a timely manner.
• Placing records in appropriate shelving areas (permanent filing, incomplete, coding, etc.).

Confidentiality and Compliance

Maintaining the confidentiality, security, and personal privacy of all patient information and files is paramount. The HIM Technician must comply with departmental policies and procedures, as well as the general hospital policies governing all staff members. Professional conduct and patient/staff confidentiality are expected at all times.

Qualifications and Experience

• Diploma in Medical Record Science / Technology.
• A minimum of 1 year of experience in a Medical Record department performing technical tasks.
• Fluency in verbal and written English.
• Comprehensive familiarity with required medical record documentation, medical terminology, Anatomy, Physiology, and Pathology.
• Thorough comprehension of the HIS system as it relates to the HIM department.
• Ability to operate a computerized health information system.
• Ability to understand diverse documentation styles.
• Professionalism and excellent interpersonal communication skills.

General Duties and Professional Development

The role includes participation in ongoing departmental education programs covering policies, procedures, Fire and Safety, Risk Management, and Environmental control. The HIM Technician will also attend monthly meetings to ensure adherence to job descriptions and discuss current issues to maintain the quality of patient care services. Compliance with the hospital dress code is required.
