The Role of Procurement & Admin Specialist
Laborelec is seeking a Procurement & Admin Specialist to join its team in Riyadh, Saudi Arabia. This role is central to local operations, ensuring the smooth execution of procurement, logistics, invoicing, and general administration. The specialist will directly contribute to project success and strengthen the company's presence in the region.
Key Responsibilities
- Procurement & Vendor Management: Source and identify qualified suppliers and service providers; manage RFQs, competitive bidding processes, and quotation comparisons; support supplier selection, negotiations, and vendor onboarding; prepare and follow up on Purchase Orders (POs); manage vendor registrations and compliance documentation (ISO, NCA, Local Content).
- Project & Commercial Support: Prepare project timesheets and Work Completion Certificates (WCCs); create and maintain opportunities in the CRM system; support Project Managers with administrative and project documentation.
- Invoicing & Payment Follow-up: Support in preparing, reviewing, and translating invoices and supporting documents; submit invoices through customer portals; follow up on customer payments and outstanding invoices; manage administrative activities related to customer accounts, including NOMAC.
- Logistics & Administration: Coordinate accommodation, transportation, and travel arrangements; issue site access permits and coordinate operational access requirements; process employee exit and re-entry visas; support in liaising with government authorities when required.
- Corporate Support: Assist in organizing company events and business activities in KSA; provide general administrative support to ensure smooth business operations.
Required Qualifications and Skills
- Degree or diploma in Business Administration, Procurement, Finance, or a related field.
- Experience in administration, procurement, logistics, or project support.
- Strong organizational, communication, adaptability, and follow-up skills.
- Fluency in English is required; Arabic is an advantage.
- Proficiency in Microsoft Office.
Work Environment
This is a contract position based in Riyadh, Saudi Arabia.
