Introduction to the Rental Agent Role at Samara
Samara is seeking a dedicated Rental Agent to join our team in Riyadh. This is a full-time position focused on providing exceptional service and managing rental operations. The role involves direct customer interaction, administrative tasks, and oversight of vehicle readiness.
Core Purpose of the Role
The primary objective of the Rental Agent is to ensure an optimal rental experience for every customer. This is achieved by maximizing sales and service opportunities while maintaining high standards of operational efficiency and customer satisfaction.
Customer Service and Agreement Management
- Communicate effectively with customers to address questions and concerns regarding reservations or rental vehicles.
- Assist customers in selecting a vehicle that aligns with their specific needs, considering factors such as price and size.
- Inform customers transparently about any existing damage on the vehicle prior to rental.
- Prepare rental agreements, providing advice on and upselling suitable vehicles and optional extras based on customer requirements.
- Clearly explain contract details, rental policies, and procedures to customers.
- Open and close rental agreements within the company system, ensuring full compliance with established policies and procedures.
Financial and Reporting Responsibilities
- Process payments via credit cards using the company's system and manage the balance of daily transactions.
- Prepare bank deposits and maintain accurate records of all transactions and customer rental counts.
- Collect rental charges from customers using various accepted payment methods, including Cash, POS, and Bank Transfer.
- Ensure daily deposit of collected cash into the company’s designated bank account.
- Prepare comprehensive End of Duty reports, such as the Daily Collection Report, POS machines Reconciliation, and Vehicle Status Report.
- Manage cash sheets and daily business reports to ensure accurate financial tracking.
Vehicle and Inventory Oversight
- Actively manage vehicle maintenance schedules and inventory levels.
- Oversee the work of drivers, ensuring thorough checks of vehicle components such as tires, accessories, and mileage.
- Process complaints promptly if any damage is identified during vehicle checks.
- Maintain an updated inventory of vehicles currently in use or undergoing maintenance.
- Ensure that vehicles are cleaned and refueled by the driver, preparing them for the next client.
