About the Tamheer - Patient Experience Coordinator Role

Bupa Arabia is seeking a Tamheer - Patient Experience Coordinator to join their team in Riyadh. This internship role is designed for individuals with 0-1 years of experience, focusing on enhancing patient engagement and ensuring operational excellence within a healthcare setting.

Role Overview

The Patient Experience Coordinator will play a key role in improving the overall patient journey at Bupa Arabia. This involves providing essential administrative support, actively engaging with patients, and contributing to the smooth operation of services under the CareConnect framework.

Key Responsibilities

  • Greet patients and visitors professionally, representing Bupa CareConnect values.
  • Provide accurate information regarding services, policies, and processes.
  • Address patient inquiries and concerns, escalating issues as necessary.
  • Follow CareConnect’s operational procedures as outlined in the manual to comply with department standards.
  • Follow up on all medical requests, including medication dispensing, lab, radiology, medical information retrieval, and referrals.
  • Maintain thorough knowledge of all departments, the company's network of hospitals, products, and services to provide accurate information to customers.
  • Deal competently with members and clinic staff feedback, taking action to resolve issues to their satisfaction with minimal team leader intervention.
  • Manage and support maternity, pediatric, and special needs medical cases.
  • Solve customer complaints and service failures without further escalation.
  • Ensure proper follow-up of recovery plans and take a lead in standardizing proposed solutions (Kaizens, RIM, JDI, etc.).
  • Ensure complaints are entered into service escalation tools for preventive actions.
  • Facilitate administrative tasks related to patient admissions, discharges, transfers, and release of information for continuation of care.
  • Open and maintain patient files, ensuring all data entries comply with organizational policies.
  • Process cash, insurance, and credit invoices for outpatient services as per policy.
  • Photocopy, scan, and organize documents required for patient services.
  • Proficiently use the organization's HIS (Health Information System) for all operational needs.
  • Assist in booking appointments and managing daily schedules.
  • Coordinate with medical staff to streamline outpatient services.
  • Ensure smooth operation of the front desk, handling interruptions and completing daily tasks.
  • Play a support role for hospital staff (Insurance, Pharmacists, Lab, Radiology, etc.) and enable coaching and training on CareConnect Protocol/services to clinic staff.
  • Respect government laws and organizational regulations, including quality and safety protocols.
  • Use equipment safely and help maintain office supplies, including stationery and electronics.
  • Support cleanliness, infection control, and facility safety programs.
