About the Role

Al Zahrawi Medical Supplies LLC is seeking a Warehouse Coordinator (Tender) to join their team in Riyadh. This full-time position is responsible for managing and coordinating the delivery appointments for government tenders, specifically with NUPCO. The role requires 2-5 years of relevant experience.

Role Purpose

The primary purpose of this role is to ensure the timely and accurate scheduling of tender deliveries, adhering to batch expiry dates and company policies. The incumbent will act as a key liaison between the warehouse team, the tender team, and NUPCO to streamline the delivery process.

Key Responsibilities

  • Adhere to all Zahrawi Policies & Procedures.
  • Schedule appointments for tender deliveries before batch expiry dates.
  • Receive invoices from the Warehouse team and coordinate appointment bookings on the iNUPCO website.
  • Coordinate deadlines for batches of active tenders.
  • Follow up on appointment approvals via the iNUPCO website.
  • Liaise with the tender team to resolve any issues related to Purchase Orders (POs) and invoices.
  • Provide support and assistance to fellow team members and departments as needed to achieve company goals.
  • Prepare reports by collecting, analyzing, and summarizing information, and maintain accurate records.
  • Maintain a database of tenders and appointments on the iNUPCO website.
  • Prepare weekly reports detailing all appointments and deliveries with NUPCO.
  • Submit periodic reports to the Line Manager.

Qualifications and Experience

  • 2-5 years of experience in a relevant field.
  • Demonstrated ability to manage scheduling and coordination tasks effectively.
  • Proficiency in using online platforms for appointment booking and tracking.

Required Skills

  • Strong organizational and time management skills.
  • Excellent communication and coordination abilities.
  • Attention to detail for accurate record-keeping and reporting.
  • Problem-solving skills to address issues with POs and invoices.
