About the Virtual Executive Assistant Role
Recruit Lytixs Hiring is seeking a Virtual Executive Assistant to provide comprehensive administrative support to executives and leadership teams. This full-time position, based in Medina, Al Madinah, Saudi Arabia, is crucial for ensuring the smooth and efficient daily operations of the organization. The role requires a high degree of organization, productivity enhancement, and support for key business decisions.
Core Responsibilities
The Virtual Executive Assistant will be responsible for managing executive calendars, including scheduling meetings, appointments, and reminders. This includes handling incoming emails and communications, prioritizing them, and responding as appropriate while maintaining clear and professional communication on behalf of executives. The role also involves coordinating internal and external correspondence to ensure effective information flow.
Task and Workflow Management
Key duties include tracking tasks, deadlines, and priorities to ensure timely completion of all assignments. The Virtual Executive Assistant will organize and follow up on action items derived from meetings and communications, and assist in managing day-to-day administrative workflows. Ensuring all activities are properly documented and tracked is also a significant part of this role.
Meeting and Documentation Support
This position involves coordinating meeting logistics, including the preparation of agendas and materials, and ensuring virtual meeting setups are functional. Taking notes during meetings and distributing summaries or action items are also required. Additionally, the role entails preparing, formatting, and organizing documents, reports, and presentations, and maintaining organized digital files and records for easy accessibility.
Required Qualifications and Skills
Candidates should possess strong verbal and written communication skills in English. Previous administrative, executive assistant, or coordination experience is preferred, with 0-1 years of experience being acceptable. Essential skills include excellent organizational and time management abilities, a high level of discretion and professionalism when handling sensitive information, and the capacity to multitask and manage competing priorities. Familiarity with digital tools, calendars, and collaboration platforms is necessary, alongside strong attention to detail and problem-solving skills. The ability to be self-motivated and work independently in a remote environment, with adaptability to changing priorities, is also crucial.
