About the Virtual Executive Assistant Role

Recruit Lytics Hires is seeking a Virtual Executive Assistant to provide comprehensive administrative support to executives and leadership teams. This full-time position, based in the Al Madinah Region, specifically in Medina, is crucial for ensuring the smooth and efficient operation of daily business activities. The role requires a high level of organization, attention to detail, and the ability to manage multiple priorities effectively.

Core Responsibilities

The Virtual Executive Assistant will be instrumental in maintaining organization and enhancing productivity. Key duties include:

  • Managing executive calendars, including scheduling meetings, appointments, and setting reminders.
  • Handling incoming emails and communications, prioritizing messages, and responding as appropriate.
  • Maintaining clear and professional communication on behalf of executives.
  • Coordinating internal and external correspondence.
  • Tracking tasks, deadlines, and priorities to ensure timely completion.
  • Organizing and following up on action items derived from meetings and communications.
  • Assisting in the management of day-to-day administrative workflows.
  • Ensuring all activities are properly documented and tracked.
  • Coordinating meeting logistics, including agendas, materials, and virtual setups.
  • Taking notes during meetings and distributing summaries or action items.
  • Arranging travel plans, accommodations, and itineraries when required.
  • Ensuring all scheduling aligns with executive priorities.
  • Preparing, formatting, and organizing documents, reports, and presentations.
  • Maintaining organized digital files and records.
  • Assisting with data entry and information management tasks.
  • Ensuring documentation is accurate and easily accessible.

Required Qualifications and Skills

Candidates for this position should possess the following qualifications and skills:

  • Strong verbal and written communication skills in English.
  • Previous administrative, executive assistant, or coordination experience is preferred.
  • Excellent organizational and time management abilities.
  • A high level of discretion and professionalism when handling sensitive information.
  • The ability to multitask and manage competing priorities effectively.
  • Comfort and proficiency using digital tools, calendars, and collaboration platforms.
  • Strong attention to detail and problem-solving skills.
