We are collaborating with a leading events and entertainment organization in Saudi Arabia to find a proactive Project Coordinator who will play a crucial role in the planning and execution of high-profile events. If you are detail-oriented, organized, and thrive in a fast-paced environment, this position is perfect for you.

Key Responsibilities:
  • Assist in creating event timelines, schedules, and detailed project plans.
  • Coordinate logistics including transportation, venue booking, vendor management, and catering.
  • Prepare and distribute event materials, including presentations, contracts, and vendor agreements.
  • Act as a liaison with clients and vendors, ensuring smooth communication and timely follow-ups.
  • Track deliverables and ensure deadlines and quality standards are met.
  • Maintain and update project documentation and assist with budget tracking and invoice processing.
  • Provide on-site support during setup, live events, and teardown.
  • Help manage event staff and address real-time issues.
  • Assist in post-event reporting and feedback collection.

Qualifications:
  • Bachelor's degree in Business Management, Hospitality, Communications, or a related field.
  • 13 years of experience in event coordination or project support.
  • Strong communication, multitasking, and organizational skills.
  • Proficiency in Microsoft Office and event management software (*, Asana, Trello).

As a vital member of our organization, you will be responsible for ensuring the successful execution of projects while adhering to internal policies and procedures. Your efforts will contribute to achieving key performance indicators (KPIs) related to project management.

Key Responsibilities:
  • Follow up on Projects and implement Internal Policies and Procedures.
  • Assist Project Managers with project-related tasks and represent them when required.
  • Attend and document meetings, ensuring all requirements are registered and followed up until completion.
  • Prepare reports for management on project pendings and assist in the preparation of Monthly Business Reports.
  • Utilize MS Project for tracking project tasks and communicate with team members on task updates.
  • Manage document repositories for project documentation.
  • Schedule meetings and manage appointments within projects.
  • Perform other related duties as required.

Personal Skills:
  • Excellent communication and interpersonal skills.
  • Proficient in English communication.

Technical Skills:
  • Bachelor's degree, preferably in Engineering.
  • 1 to 3 years of experience in a relevant field.
  • Proficient in Word, Excel, Power Point, Visio, SharePoint, and MS Project.
