About the Document Controller Role

AJBAL is seeking a dedicated Document Controller to join its team in Riyadh. This full-time, on-site position is crucial for maintaining the integrity and accessibility of project documentation within a growing organization committed to efficiency, reliability, and compliance. The role supports AJBAL's focus on clear processes, accurate record-keeping, and strong internal coordination.

Key Responsibilities

The Document Controller will be responsible for the comprehensive management of project documentation. This includes:

  • Managing the creation, receipt, classification, and archiving of documents in both physical and digital formats, ensuring accuracy, completeness, and proper version control.
  • Maintaining document registers and updating tracking systems to reflect current status.
  • Ensuring all project documentation and records are organized for easy retrieval.
  • Coordinating document distribution with project teams, internal departments, and external stakeholders.
  • Following up on document approvals to ensure timely progress.
  • Ensuring strict adherence to established document control procedures and company standards.
  • Reviewing documents to confirm compliance with requirements.
  • Managing access permissions and maintaining the confidentiality of sensitive documents.
  • Providing support for audits by ensuring documentation is readily available and organized.

Process Improvement Contribution

This role also involves contributing to the continuous improvement of documentation processes. The Document Controller will identify opportunities to enhance efficiency and effectiveness in document management practices.

Required Qualifications and Skills

Candidates should possess the following qualifications and skills:

  • Strong Document Management Skills: Proficiency in organizing, storing, tracking, and retrieving documents within structured systems.
  • Documentation Expertise: Ability to prepare, format, and standardize project-related records and files.
  • Records Management Experience: Familiarity with retention schedules, archiving, and secure disposal of records.
  • Effective Communication: Ability to coordinate with internal and external parties, clarify requirements, and ensure smooth document flow.
  • Technical Proficiency: Familiarity with document control software or electronic document management systems (EDMS) and strong MS Office skills (Word, Excel, PowerPoint).
  • Organizational Abilities: High attention to detail, strong organizational skills, and the capacity to manage multiple document streams and deadlines.
  • Educational Background: A relevant diploma or bachelor’s degree in administration, information management, or a related field.
  • Experience: Prior experience as a Document Controller or in a similar role is considered an advantage.

Work Environment and Location

This is a full-time, on-site position based in Riyadh. The role requires the ability to work collaboratively within a team environment and adhere to standardized procedures and quality standards.
