About the Role
Avensys Consulting, a global IT professional services company headquartered in Singapore, is seeking to hire an Office Manager/Secretary. This full-time position is based in Al Khobar, Eastern Region. The role involves providing comprehensive administrative and strategic support to the CEO and ensuring the smooth operation of the office.
Key Responsibilities
The Office Manager/Secretary will be responsible for a range of duties focused on executive support and office management:
- Providing end-to-end strategic support to the CEO, including managing schedules, coordinating travel and meetings, and filtering communications.
- Representing the CEO in select meetings and preparing concise meeting minutes.
- Drafting correspondence on behalf of the CEO and managing sensitive documents such as faxes, mail, and checks.
- Assisting with presentations and preparation for administrative tasks, including hiring processes and approvals.
- Overseeing office operations, including maintaining inventory of supplies and ensuring equipment functionality.
- Optimizing administrative policies and procedures to enhance efficiency.
- Liaising with external partners and internal teams, such as Project, Procurement, Sales, Finance, and HR, to streamline workflows.
Qualifications and Experience
Candidates for this position should possess the following qualifications:
- A minimum of 2 to 5 years of relevant experience.
- At least 3 years of experience supporting C-suite executives or senior management.
- Experience in the technology sector or other fast-paced industries is preferred.
Required Skills and Competencies
Successful candidates will demonstrate proficiency in the following areas:
- Mastery of calendar management and scheduling for senior executives.
- Expertise in document control and management of sensitive information.
- Excellent stakeholder communication skills, both internal and external.
- A proactive approach to problem-solving, with the ability to anticipate needs and drive efficiency.
Work Environment and Location
This is a full-time position located in Al Khobar, within the Eastern Region. The role operates within a professional services environment, supporting a global IT company with a diverse client base across various industries.
