About the Fleet Coordinator Role
Panda Retail Company – Savola Group is seeking a Fleet Coordinator to join their team in Makkah. This full-time position requires 2-5 years of relevant experience and involves managing and optimizing fleet operations to ensure efficient delivery schedules and cost-effectiveness.
Key Responsibilities and Tasks
- Ensure adherence to delivery schedules and routing through system assignments to meet fleet KPIs and optimize route planning.
- Record all deliveries, including backloads, in the system for accurate data tracking.
- Optimize in-transit trucks for backloads from suppliers to minimize waiting times.
- Follow the Incentive Policy for all deliveries, considering cost per KM and per region for drivers to achieve cost outcomes.
- Record trip distances in the system and reflect them with the corresponding Incentive Amount.
- Ensure driver availability for deliveries as per the schedule to meet order delivery timelines.
- Obtain floor counts for ready-to-load orders by receiving reports from the Outbound team to ensure optimal truck and fleet utilization.
- Follow up with Drivers and Stores to ensure timely shipment offloading.
- Record Proof of Delivery (POD) in the system upon closing any trip.
- Rotate drivers across regions to ensure equitable distribution of work.
Accountabilities and Operational Duties
- Issue diesel vouchers in accordance with Standard Operating Procedures (SOP) and company policy.
- Open and close all trips through the system to maintain accurate operational records.
- Provide all related operational reports to the line manager on an agreed schedule for visibility.
- Promptly report any fleet management issues to the line manager and ensure a timely response to mitigate business risks.
- Adhere to company safety instructions, maintain company property, and work in a safe environment, committing to and implementing established work mechanisms.
Required Qualifications and Experience
- A minimum of 2 years of experience in a relevant field.
- Good English language skills, both in reading and writing.
- Proficiency in computer skills, particularly with MS Office applications.
- Familiarity with Transportation Management Systems (TMS) and Warehouse Management Systems (WMS) is considered a plus.

Work Location and Type
This is a full-time position based in Makkah, with responsibilities potentially covering operations in Rabigh and Makkah. The role is integral to the logistics operations of Panda Retail Company – Savola Group.
