About the Administrator Assistant Role at Alfanar
Alfanar is seeking an Administrator Assistant to join its team in Riyadh, Saudi Arabia. This full-time role is crucial for supporting various business units by managing daily administrative tasks efficiently and ensuring adherence to defined quality standards and procedures.
Role Purpose and Contribution
The primary purpose of this role is to provide comprehensive administrative support, enabling departments to achieve their operational plans and development objectives. The Administrator Assistant will ensure that all tasks are completed in a timely manner and in compliance with established policies, contributing to the smooth functioning of business operations.
Key Responsibilities
- Register sales orders within the SAP system and manage Outbound Deliveries (OBDs), coordinating with stores until material delivery.
- Liaise with Sales and Accounts teams to facilitate the issuance of LGs, order releases, OBDs, commercial invoices, payment receipts, and new account openings.
- Process advance payments and commercial invoice requests for collection, tracking invoices until submission to customers.
- Follow up with the Accounts department for payment allocation post-collection and submit monthly SAP invoices after obtaining necessary signatures.
- Create opportunities, quotations, and tickets for new tenders.
- Prepare various reports for the Sales Manager, including booking, invoicing, FGCN (Full Goods Credit Note), overdue payments, forecasts, and backlogs.
- Develop item lists based on project nature and IPO, coordinating with Demand Planning, Factory, and Product Marketing Managers for materials master creation.
- Arrange stock take-off samples, pre-qualification files, and project materials, providing weekly reports to management.
Operational Accountabilities and Standards
- Maintain and update soft and technical skills relevant to the job, with a clear vision for career path development.
- Execute planned activities to meet operational and development targets according to delivery schedules, utilizing resources effectively within cost and time parameters.
- Provide periodic reports detailing deviations and execution status of planned tasks.
- Address and resolve operational problems, escalating complex issues as necessary.
- Ensure adherence to quality requirements, developing effective quality control processes and specifications for products or related activities.
- Coordinate well-defined written systems, policies, and procedures, actively seeking automation opportunities.
- Comply with all relevant policies, procedures, and work instructions.
- Ensure compliance with safety, quality, and environmental management procedures within the defined work area to guarantee safety, legislative adherence, and high-quality service delivery.
Required Qualifications and Experience
- A minimum of 5 to 10 years of relevant experience in an administrative support role.
