About the Opportunity
UCC Holding is seeking a dedicated and organized Administrator to join our team in Riyadh, Saudi Arabia. This full-time role is central to planning, developing, coordinating, and directing various administrative services to ensure efficient operations across several functional areas within the company.
Core Responsibilities
The Administrator will oversee daily administrative functions and provide essential support to staff and leadership. Key duties include:
- Supervise day-to-day departmental operations and staff members, providing support with daily clerical tasks.
- Manage incoming phone calls, provide information to callers, and redirect calls as necessary.
- Ensure the office is adequately stocked with necessary supplies and that all equipment is functional and properly maintained, including ordering stationery and supplies as required.
- Plan, schedule, and promote various office events, such as meetings, conferences, interviews, orientations, and training sessions.
- Provide comprehensive administrative support to executive staff, business leaders, and other senior members.
- Assist in the preparation of meetings and teleconferences, and facilitate the recording, transcription, and distribution of minutes and action items.
- Ensure timely and accurate content review and dissemination for leadership, including weekly and monthly leadership reports and other business requirements.
- Support the Executive Team and Leadership in preparing for annual leadership meetings, including supporter meetings, membership business meetings, and strategic planning meetings.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Provide oversight for new staff orientation, including developing trainings and resource materials.
- Ensure the accuracy and appropriate maintenance of the policy manual, procedure manual, and self-audit processes in accordance with leadership approvals and evolving needs.
- Support the implementation of HSE (Health, Safety, and Environment) initiatives, participate in safety awareness activities, and contribute to incident reporting and resolution in alignment with company and IMS policies.
Required Experience
Candidates for this role should possess a proven track record in administrative services. A minimum of 2 to 5 years of relevant experience is required to effectively manage the scope of responsibilities.
Work Environment and Location
This is a full-time position based in our offices in Riyadh, Saudi Arabia. The Administrator will work within a dynamic environment, supporting various departments and leadership teams to maintain operational efficiency.
