Job Description

About the Role

alfanar is seeking an Administrator Assistant to join our team in Riyadh. This full-time role is designed to provide essential support to business units by efficiently managing daily administrative tasks. The successful candidate will ensure all activities are completed in a timely manner and adhere to established quality standards, policies, and procedures, contributing directly to departmental operational plans and developments. We are looking for a professional with 0-1 years of experience in a relevant administrative capacity.

Key Responsibilities

  • Register sales orders within the SAP system.
  • Create Outbound Deliveries (OBDs) and coordinate with stores to ensure material delivery.
  • Liaise with Sales and Accounts teams for the issuance of LGs, order releases, OBDs, commercial invoices, payment receipts, and new account openings.
  • Process advance payments and commercial invoice requests for collection purposes.
  • Track commercial invoices until their submission to customers and follow up with the Accounts department for payment allocation post-collection.
  • Submit monthly SAP invoices to the Accounts department after obtaining necessary signatures from Sales and Customers.
  • Generate opportunities, quotations, and tickets for new tenders.
  • Prepare various reports for the Sales Manager, including booking, invoicing, FGCN (Full Goods Credit Note), overdue payments, forecasts, and backlogs.
  • Develop item lists based on project nature and IPO requirements.
  • Coordinate with Demand Planning, Factory, and Product Marketing Managers for material master creation.
  • Arrange stock take-off samples, pre-qualification files, and project materials, providing weekly reports to management.

Operational Accountabilities

  • Continuously acquire and update soft and technical skills relevant to the role, with a clear vision for career path achievement.
  • Execute planned activities to meet operational and development targets according to delivery schedules, utilizing resources effectively within cost and time parameters.
  • Provide periodic reports detailing task execution and any deviations from planned activities.
  • Resolve operational problems as they arise and escalate complex issues to appropriate channels.
  • Ensure adherence to quality requirements, contributing to effective quality control and process development.
  • Coordinate and maintain well-defined written systems, policies, and procedures, actively seeking automation opportunities.
  • Comply with all relevant company policies, procedures, and work instructions.
  • Ensure compliance with safety, quality, and environmental management procedures within the defined work area.

Qualifications and Experience

  • A minimum of 0-1 years of experience in an administrative support role.
  • Demonstrated ability to learn and adapt to new technical and soft skills.
  • Proficiency in using SAP system for sales order management and related tasks is highly desirable.
  • Strong organizational skills and attention to detail.
  • Effective communication and coordination abilities.

Work Location

This is a full-time position based in Riyadh, Saudi Arabia.
