About the Role

CooperVision is seeking a Business Operations Specialist to join our team in Riyadh, Saudi Arabia. This full-time role provides essential administrative and operational support for the Export Markets business, encompassing the CooperVision legal entity in Saudi Arabia and the commercial processes of the wider Export Markets region. The region includes approximately 94 markets across the GCC, MENA, CIS, Balkans, Baltics, and Africa, operating primarily through distributors.

Key Responsibilities

  • Ensure the KSA legal entity maintains full compliance with statutory, licensing, and labor obligations, including timely renewals of Commercial Registration, MISA license, municipality license, and sector/health authority licenses.
  • Administer government e-services (Qiwa, GOSI, Muqeem, Absher/Nafath, Mudad/WPS) for the entity, covering employee registrations, iqama and visa processing, contract filings, and monitoring Saudization (Nitaqat) position.
  • Serve as the primary contact for external legal, accounting, audit, and service providers, managing outsourced scope, service levels, deliverables, and invoicing.
  • Maintain entity compliance and document records, coordinating internal and external audit and inspection requests.
  • Coordinate the collection, validation, and consolidation of distributor reporting (sell-out, inventory levels, forecast inputs) across the Export Markets network, producing consolidated regional reports monthly.
  • Support Accounts Receivable by monitoring overdue balances, managing escalation cadences, and liaising with Finance and Credit Control on collections, credit limits, and payment terms.
  • Support the contracting cycle with Legal and the Contracts team for distributor agreements, renewals, and amendments, including document flow, version control, signature routing, and maintaining the regional contract register.
  • Coordinate the biennial FTI process, including data gathering, submission preparation, cross-functional follow-up, and tracking to completion.
  • Support the APLCO new product launch process, tracking milestones, preparing market readiness documentation, coordinating registration and supply inputs, and ensuring cross-functional follow-up against launch timelines.
  • Organize customer events such as professional education center visits, congress participation, and in-market activities with distributors, managing logistics, travel, vendor selection, budget tracking, and post-event reconciliation.
  • Ensure all event and customer engagement activities adhere to CooperVision compliance, transparency, and expense policies.
  • Provide operational and administrative support to the Export Markets commercial team, managing recurring administrative workload to free up field capacity for distributor-facing activities.
  • Identify and drive continuous improvement and simplification of regional administrative and reporting processes.

Qualifications and Experience

  • A minimum of 5-10 years of relevant professional experience.
  • Demonstrated ability to manage administrative and operational processes effectively.
  • Experience with statutory and entity compliance, particularly within Saudi Arabia, is highly desirable.
  • Strong organizational skills and attention to detail.
  • Proficiency in coordinating complex projects and managing multiple stakeholders.
