About the Document Controller Role

Dussmann-Ajlan & Bros is seeking a Document Controller to join our team at the Headquarters in Riyadh, Saudi Arabia. This full-time position is central to managing, organizing, and maintaining critical project and Facilities Management (FM) documentation.

Role Purpose and Compliance Standards

The Document Controller ensures the accuracy, accessibility, and compliance of all documentation with organizational standards. This includes strict adherence to ISO 9001 for document control and ISO 41001 for Facilities Management systems. The role supports efficient workflows, audit readiness, and effective information management across all projects and facilities operations by aligning documentation practices with established document exchange protocols.

Key Responsibilities

  • Maintain document control systems, ensuring proper version control, approvals, distribution, and archiving.
  • Ensure all Integrated Management System (IMS) documents, Standard Operating Procedures (SOPs), policies, procedures, and compliance records are properly controlled and updated.
  • Manage audit-ready documentation, including reports, Non-Conformance Report (NCR) records, permits, certificates, and compliance evidence.
  • Oversee drawings, Operations & Maintenance (O&M) manuals, asset documentation, and technical submittals.
  • Maintain comprehensive document registers, trackers, and logs for all project documentation.
  • Coordinate workflows to ensure timely submission, review, approval, and distribution of documents among stakeholders.
  • Ensure accuracy, consistency, and traceability of all documents and records.
  • Coordinate with the Facilities Management team, contractors, consultants, and client teams for document submission and tracking.
  • Generate document status reports, overdue logs, and compliance trackers.
  • Support document readiness during project mobilization and handover phases.
  • Recommend improvements in document control processes and digital systems.

Qualifications and Experience

  • Experience: A minimum of 5 years in document control, with a preference for experience within facilities management, construction, or property sectors. Strong exposure to documentation protocols within FM consultancy or service environments is essential.
  • Education: Bachelor's degree in Business Administration, Library Science, Information Management, Information Systems, Facilities Management, or Construction Administration, or a related discipline.
  • Certification: Demonstrated relevant document control experience and CDE-related training (*, Aconex, Viewpoint, Asite).

Required Skills and Tools

  • Systems & Digital Tools: Proficiency in SharePoint, Microsoft Office Suite, and Common Data Environment (CDE) platforms.
  • Soft Skills: Detail-oriented, highly organized, strong communication, training delivery skills, process improvement mindset, confidentiality awareness, and data security awareness.
  • Language: Minimum IELTS Level 6 or equivalent in English proficiency.
