The Role
KONE is seeking a Facilities, Fleet & Administration Manager to oversee the end-to-end operations of Facilities, Fleet, Travel, and Administration for KONE Saudi Arabia. This full-time position is based in Riyadh, Saudi Arabia, and requires 5-10 years of experience. The role involves managing offices, staff accommodation, the vehicle fleet, travel services, and administrative functions across all KSA locations. As the Department Owner, this position is accountable for the department's budget, cost optimization, governance, and all related contracts and service providers.
Key Responsibilities
- Manage day-to-day department operations independently across all KSA locations, setting priorities, service standards, and coverage.
- Act as Department Owner for Facilities, Fleet, and Administration in KSA, defining local requirements, demand, and service standards in collaboration with Purchasing and Area Category Managers.
- Deploy regional Facilities policies locally and develop KSA guidelines for areas without regional or global instruments, such as accommodation standards, parking, camp operations, travel, fuel control, and office services.
- Own all local department contracts throughout their lifecycle, including scope, SLA and performance terms, cost and commercial mechanisms, variations, renewal, extension, and exit. Maintain the department contract register.
- Provide full line management for the department and the Facilities team, covering resourcing, hiring, objective setting, performance monitoring and review, skills development, discipline, separation, coverage, and succession planning.
- Manage supplier relationships and performance against contracted SLAs, conducting periodic reviews, driving corrective actions, and escalating persistent underperformance.
- Collaborate with the Purchasing team for sourcing events and approvals.
- Manage all aspects of staff accommodation, including licensing, government dealings, inspections, regulatory compliance, daily operations, occupancy, employee welfare, maintenance, cleaning, catering, security, and utilities.
- Oversee office leasing, fit-out projects, maintenance, utilities, reception standards, courier, printer services, and office supplies.
- Ensure fleet register integrity, allocation, fuel control, maintenance, insurance, lease administration, disposal, and deregistration.
- Monitor travel bookings through mandated channels, policy compliance, and spend. Ensure consistent administrative service delivery across all sites.
- Own the department budget, including planning, forecasting, monthly review, accruals, and variance explanation, while delivering annual savings targets.
- Ensure all department requirements are raised, approved, and processed through the correct purchasing channel within the Delegation of Authority, and that invoices, receipting, and submissions to Finance are complete, accurate, and timely.
- Collaborate with the HSE department to ensure all venues comply with KONE standards.
- Work with Purchasing, Finance, HSE, HR, and Operations for daily business support and coordinate with regional and global Category and Facilities teams on strategy and initiative rollout in KSA.
- Build and communicate periodic reports on managed categories, including spend, savings, budget variance, SLA and KPI performance, compliance status, occupancy, and fleet utilization. Prepare and present management reports to leadership.
Required Qualifications and Experience
- Minimum of 7 years of experience in facilities management, including multi-site responsibility.
- Minimum of 4 years managing specialists and administrative teams.
- Proficiency in contract management, including SLA governance, commercial terms, renewals, and supplier performance.
- Working familiarity with Procurement & Finance processes.
- Understanding of KSA regulatory requirements related to labor accommodation and municipality licensing, with experience dealing with government authorities.
- Basic skills in SAP or an equivalent ERP system.
- Proficiency in Microsoft Office and experience using AI and LLM tools in daily work.
- Strong report building, data analysis, and presentation skills.
