The Role of HR Onboarding Specialist

SIHAMCO is seeking an HR Onboarding Specialist to manage the complete employee arrival and onboarding journey in Riyadh. This contract role, requiring 5-10 years of experience, focuses on ensuring every new employee's integration into SIHAMCO is smooth and professional from their arrival. The specialist coordinates with Recruitment, HR, Operations, and Facilities to ensure new hires are legally compliant, fully inducted, comfortably accommodated, and equipped for success from day one.

Key Responsibilities

  • Manage the end-to-end onboarding process, including preparing schedules, coordinating pre-arrival communication, and ensuring completion of employment contracts and HR documentation.
  • Create and maintain employee personnel files and HR records, verifying all required documentation before commencement.
  • Coordinate airport arrivals and arrange transportation to accommodation, ensuring accommodation is prepared before employee arrival.
  • Issue welcome packs and assist employees with settling into Saudi Arabia, acting as the primary point of contact during their initial weeks.
  • Deliver company orientation sessions and introduce employees to SIHAMCO's culture, values, and standards.
  • Coordinate departmental inductions and schedule mandatory compliance and safety training, ensuring completion of all onboarding checklists.
  • Manage employee accommodation allocations, coordinate room assignments, and liaise with accommodation providers to resolve issues and monitor standards.
  • Coordinate furniture, utilities, and employee living requirements, maintaining accommodation occupancy records.
  • Oversee the coordination of ID cards, uniforms, IT equipment, mobile phones, access cards, and locker assignments, ensuring all resources are available before the first working day.
  • Liaise with Facilities regarding maintenance requests, cleaning, accommodation readiness, office preparation, and new employee workspace setup.
  • Maintain onboarding records within the HRIS, produce reports and dashboards, monitor onboarding KPIs, and ensure documentation complies with company policies and labour legislation.

Immigration, Compliance, and Employee Welfare

  • Coordinate with the PRO for work visas, Iqama processing, medical examinations, fingerprinting, and government registrations.
  • Track immigration milestones and monitor expiry dates for visas, Iqamas, and other legal documentation, maintaining accurate compliance records.
  • Support employees during relocation and settlement, assisting international employees with adapting to Saudi Arabia.
  • Respond to employee queries regarding accommodation, transportation, and company policies, escalating welfare concerns when necessary.

Qualifications and Experience

  • A relevant Bachelor's Degree is required.
  • 5-10 years of experience within hospitality, entertainment, or large multi-site operations.
  • Demonstrated experience supporting international recruitment and employee relocation.
  • Experience working with accommodation management is considered advantageous.
