About Acuative Middle East

Acuative Middle East is seeking an Information Technology Project Coordinator to join our team in Riyadh, Saudi Arabia. This is a full-time position dedicated to supporting strategic technology initiatives within the region.

Role Purpose and Scope

The Project Coordinator will play a central role in supporting the planning, execution, deployment, and closure of critical technology, cybersecurity, infrastructure, and digital transformation projects. This position involves close collaboration with Project Managers, technical teams, vendors, and various stakeholders to ensure projects are delivered efficiently, on schedule, within scope, and to required quality standards.

Key Responsibilities

  • Support Project Managers across all project phases, from initiation to closure.
  • Maintain project schedules, action logs, risk registers, issue logs, and change request records.
  • Track project milestones, deliverables, dependencies, and deadlines, monitoring progress and escalating potential delays.
  • Coordinate project meetings, workshops, and stakeholder sessions, including preparing agendas, minutes of meetings (MoM), and follow-up reports.
  • Ensure timely and effective communication between project teams, vendors, and business stakeholders.
  • Support project resource coordination and scheduling activities.
  • Assist with project deployment activities, rollout planning, and coordination of testing (UAT, pilot deployments).
  • Support transition-to-operations and handover activities, including post-deployment stabilization.
  • Coordinate activities between internal teams, external vendors, and contractors, tracking vendor deliverables.

Project Management Support and Reporting

This role is responsible for maintaining project controls and governance documentation. The coordinator will update and maintain project schedules using tools like Microsoft Project, prepare weekly and monthly status reports, and support KPI tracking. Additionally, the role involves maintaining Risk Registers, Issue Logs, and Change Request Logs, following up on mitigation actions, and escalating unresolved items to the Project Manager.

Documentation and Compliance

The Project Coordinator will manage and organize comprehensive project documentation, ensuring all records are stored, version-controlled, and accessible. This includes Project Charters, Plans, Meeting Minutes, Logs, Deployment Plans, Test Plans, UAT Documentation, Handover Documentation, Operational Readiness Documentation, and Project Closure Reports. The role also supports compliance with organizational policies, approved standards, templates, and cybersecurity requirements.

Required Qualifications and Experience

  • 2-5 years of experience supporting IT, infrastructure, cybersecurity, cloud, telecom, or digital transformation projects.
  • Familiarity with project management methodologies such as Waterfall, Agile, or Hybrid approaches.
