Endeavor is seeking a full-time MarCom & Events Associate to join its team in Riyadh, a role suited for individuals with 0-1 years of experience.
The MarCom & Events Function
The MarCom & Events area serves as the operational engine for Endeavor Saudi's experiences, which range from intimate entrepreneur roundtables to large-scale summits like Riyadh Forward, attracting over 400 global founders, investors, and ecosystem leaders. This team ensures that entrepreneurs, mentors, investors, and partners consistently have high-value experiences throughout the year. The role joins at a pivotal moment as the area redefines standards for high-level experiences, offering real ownership over events that guide the community strategy for Saudi Arabia's highest-impact entrepreneurs.
Key Responsibilities
The MarCom & Events Associate will be responsible for the end-to-end operation of Endeavor Saudi community events, including:
- Supporting the planning and execution of Endeavor Saudi's full event calendar, including global events, entrepreneur retreats, ecosystem events, networking dinners, workshops, and gatherings.
- Conducting venue research, site visits, and selection based on objectives, capacity, accessibility, aesthetics, and budget.
- Managing event budgets, tracking expenses, processing invoices, and ensuring cost-effective delivery under manager oversight.
- Establishing event pages and registration systems.
- Developing detailed event run-of-shows, timelines, and checklists to ensure coordinated and scheduled execution.
- Sourcing, evaluating, and managing relationships with event vendors, including venues, caterers, AV technicians, decorators, photographers, and logistics providers.
- Negotiating contracts and pricing to secure optimal value while maintaining quality standards.
- Building and maintaining a preferred vendor database with performance ratings.
- Serving as the on-ground operations lead during events, managing setup, supervising vendor teams, coordinating staff, and troubleshooting issues.
- Overseeing guest registration, hospitality, and experience flow to ensure a seamless attendee experience.
- Coordinating with the communications team for live coverage, photography, and content capture during events.
- Contributing to the creative vision for events, proposing themes, décor concepts, and experiential elements aligned with Endeavor's brand.
- Selecting and curating aesthetic elements such as florals, lighting, table settings, and signage.
- Conducting post-event evaluations, including attendee feedback, budget reconciliation, and performance analysis.
- Preparing event reports documenting outcomes, learnings, and recommendations for future improvements.
- Logging and capturing all event-related data on Salesforce.
- Coordinating logistics pre, during, and post-event in partnership with Account Managers and cross-functional teams.
Required Qualifications and Skills
Candidates should possess the following technical and behavioral skills:
- Experience: 0–2 years of relevant experience in event coordination, hospitality, or related fields (including internships, volunteer roles, university event planning, or hospitality experience).
- Event Planning Fundamentals: Solid understanding of logistics, timelines, vendor coordination, and on-site management.
- Vendor Management: Experience or strong aptitude for sourcing vendors, negotiating terms, and managing supplier relationships.
- Aesthetic Acumen: Strong eye for visual composition, ambiance, and experience design; ability to curate inspiring environments.
- On-site Leadership: Comfortable directing external teams and managing guest flow, remaining calm and effective under pressure.
- Technical Proficiency: Basic proficiency in project management tools, spreadsheets, and Notion (or similar).
- AI Tools: Experience and curiosity in using AI tools such as ChatGPT, Claude, and Gemini for daily tasks and automations.
- Continuous Improvement: Capacity to learn from each cycle and transform learning into process improvements.
- Communication: Ability to communicate effectively with diverse audiences and external stakeholders, ensuring alignment.
- Risk Analysis: Capacity for anticipating potential issues, exercising caution, and resolving them proactively.
- Passion for Experiences: Genuine enthusiasm for creating experiences and energized by live events.
- Accountability: Takes full responsibility for assigned events and deliverables, following through on commitments.
