About National Medical Care and the Role
National Medical Care, located in Riyadh, Saudi Arabia, is seeking a Medical Reports Supervisor to join their team on a full-time basis. This pivotal role is responsible for ensuring the superior quality of medical treatment, compassion, and understanding for every patient by maintaining an effective system of medical reports. The supervisor plays a critical part in achieving hospital goals and meeting stringent standards set by CBAHI & JCIA.
Role Purpose and Reporting Structure
The primary purpose of this position is to plan, develop, and maintain a robust system for medical reports that aligns with hospital objectives and regulatory requirements. The Medical Reports Supervisor reports directly to the Director of Health Information Management and is responsible for overseeing a team that includes Assistants, Clerks, Encoders, and Orderlies, guiding their daily operations and professional development.
Key Responsibilities
- Plan, develop, and maintain the medical reports system to achieve hospital goals and comply with CBAHI & JCIA standards.
- Prepare technical reports detailing work volume, procedures, and medical reports services; coordinate the preparation of reports and analyses on progress, adverse trends, and recommendations.
- Implement policies and procedures for processing and handling medical reports (OP & IP), releasing patient information, managing incomplete medical reports, and diagnostic data services in accordance with JCIA & CBAHI standards.
- Maintain sufficient inventory of materials and equipment for duties and ensure standard Medical Report Department equipment is within budgetary guidelines.
- Ensure the implementation of Quality Assurance and Safety protocols to comply with internal and external regulations.
- Train, supervise, and evaluate the performance of Medical Report Technicians; develop work performance standards; schedule and assign work and priorities; and provide technical expertise.
- Organize and operate Medical Reports services (OP & IP) in relation to established standards and new technology, making appropriate revisions as needed.
- Provide a staff education and development program for new hire orientation, teaching new procedures and techniques, and upgrading skills. Approve or recommend annual leave, educational leave, and training assignments.
- Actively assist medical staff in complying with JCIA & CBAHI requirements for medical report review.
- Supply data and support physicians in conducting research studies.
- Recommend employment promotion and release of personnel.
- Interface with other departments to coordinate and resolve problems.
- Submit monthly reports to Hospital Administration and any additional required reports.
- Submit Health Care Statistics to the Manager of Health Information Management (OP & IP) on a monthly, quarterly, half-yearly, and annual basis.
- Maintain the Medical Report code of ethics.
- Perform other applicable tasks and duties assigned within the scope of the employee's knowledge, skills, and duties.
Required Experience and Professional Conduct
Candidates for this role should possess 5-10 years of relevant experience in medical reports supervision or a similar capacity within a healthcare setting. A strong understanding of healthcare regulations, quality assurance principles, and ethical practices in medical information management is essential. The ability to lead a team, implement operational improvements, and maintain a high standard of professional conduct is required.

This position demands a commitment to operational excellence, including the meticulous management of resources, adherence to budgetary guidelines, and continuous improvement of services. The supervisor is instrumental in ensuring that all medical reporting processes and staff activities comply with internal policies and external regulatory bodies such as JCIA and CBAHI, thereby upholding the highest standards of patient care and data integrity.
