About the Role
Mina Excellence is seeking a Procurement Specialist to manage daily procurement activities across various categories. This full-time position is based in Riyadh, Saudi Arabia, and requires 2-5 years of relevant experience. The role involves overseeing the end-to-end procurement process and ensuring compliance with company policies and regulatory standards.
Key Responsibilities
- Manage the complete procurement cycle, including purchase requisitions, RFQs, supplier quotations, comparative statements, purchase orders, and delivery follow-up.
- Source and evaluate suppliers based on criteria such as price, quality, availability, service level, lead time, payment terms, and compliance.
- Develop and maintain relationships with local and international suppliers.
- Support the procurement of food products, beverages, ingredients, packaging materials, consumables, cleaning supplies, uniforms, equipment, spare parts, and general operational requirements.
- Coordinate with internal departments including F&B, Operations, Finance, Warehouse, Facilities, and Maintenance to understand requirements and ensure timely purchasing.
- Conduct market research and supplier benchmarking to identify competitive pricing, alternative products, and new sourcing opportunities.
- Negotiate pricing, commercial terms, payment terms, lead times, minimum order quantities, and service agreements with suppliers.
- Prepare and maintain procurement documentation such as purchase orders, contracts, supplier agreements, quotations, and price lists.
- Monitor supplier performance regarding delivery schedules, product quality, order accuracy, and compliance with agreed terms.
- Follow up on outstanding orders and resolve delivery or quality issues with suppliers and internal stakeholders.
- Support the management, renewal, and negotiation of supplier contracts and service agreements.
- Maintain accurate procurement records, supplier databases, approved vendor lists, and purchasing reports.
- Monitor purchasing spend and contribute to cost-control and cost-saving initiatives.
- Coordinate with Finance and Accounts Payable to ensure proper documentation for invoices, purchase orders, and supplier payments.
- Work with Warehouse and Inventory teams to monitor stock levels, consumption, replenishment, and product availability.
- Ensure all purchased materials meet required quality, specification, shelf-life, packaging, and regulatory standards.
- Ensure procurement activities comply with company policies, approval procedures, delegated authorities, and applicable regulations in Saudi Arabia.
- Support the development and implementation of procurement policies, procedures, sourcing strategies, and supplier performance standards.
- Identify procurement risks, supply interruptions, price fluctuations, and alternative sourcing opportunities.
- Prepare regular procurement reports covering spend, savings, supplier performance, purchase orders, and pending deliveries.
- Perform other assigned procurement, sourcing, and supply chain duties.
Candidate Qualifications
- 2-5 years of experience in procurement or a related field.
- Detail-oriented with strong attention to pricing, specifications, and purchasing requirements.
- Strong negotiation and supplier-management skills.
- Good understanding of F&B products, market pricing, product specifications, and supply requirements.
- Ability to source products and services across multiple categories.
- Strong problem-solving skills, including the ability to identify alternative suppliers and solutions.
- Proactive approach to following up on orders and commitments.
- Strong communication skills and ability to work effectively with suppliers and cross-functional teams.
- Ability to balance cost, quality, availability, and operational requirements.
- Strong sense of ownership, accountability, and commercial awareness.
- Comfortable working in a dynamic environment with changing priorities.
