About KONE and the Role
KONE is seeking an organized Project Admin & Documents Controller to join its team in Riyadh, Saudi Arabia. This full-time position is crucial for supporting Project Managers by performing essential project management tasks, ensuring efficient project execution and accurate financial tracking. The role focuses on maintaining project documentation, monitoring financial forecasts, and managing invoicing processes.
Key Responsibilities
- Collect and compile information to support Project Manager and Supervisor decision-making.
- Monitor project schedules, assist in maintaining project plans, and notify Project Managers regarding schedule updates.
- Support Project Managers and Supervisors with customer correspondence, securing timely approvals and signatures, and preparing documentation for relevant stakeholders.
- Ensure all project documentation is readily available when needed and correctly archived.
- Monitor invoicing status against billing plans and report any deviations.
- Verify collection statuses, report deviations, and prepare status information for forecast reviews and customer contact regarding issues.
- Monitor and update cost forecasts with actual expenditures and incoming invoices.
- Handle project requests for logistics needs, coordinating with the Logistics Coordinator to support Project Managers and Supervisors.
- Prepare revenue and cost plan status information for forecast reviews.
- Administer change orders and variation sales.
- Manage contract and scope-related claims in agreement with the Project Manager, including filing, tracking, and maintaining customer correspondence and documentation.
- Create, update, and maintain a comprehensive system for managing the entire lifecycle of project documents, including creation, review, and version control.
Required Qualifications
- Bachelor's degree in Business Administration.
- 3-5 years of experience in a similar administrative or document control role.
Essential Skills and Systems
- Excellent communication, coordination, and follow-up skills.
- Strong proficiency in MS Office applications, particularly MS Excel.
- Mandatory experience with SAP.
- Excellent command of both Arabic and English languages.

This is a full-time position based in Riyadh, Riyadh, Saudi Arabia. The role involves supporting project teams within a professional work environment.
