About the Role

Entertainment Gears is seeking an experienced Project Coordinator for a contract position to support a large-scale Brand Ambassadors project. This role focuses on the day-to-day execution across multiple locations in the Eastern, Western, and Central Regions. The Project Coordinator will serve as the primary link between the field team and management, ensuring smooth operations, accurate reporting, and consistent standards.

Role Context

This position requires a strong field presence, continuous coordination with Brand Ambassadors, and close monitoring of attendance and performance. The Project Coordinator will be responsible for quick follow-up on operational issues and will work closely with the Regional Retail Manager. The ideal candidate will be organized, proactive, and comfortable taking ownership of daily coordination and follow-up in a fast-paced field environment.

Key Responsibilities

  • Coordinate daily Ambassador operations and deployment across assigned locations.
  • Manage schedules, attendance, punctuality, absences, breaks, and shift adherence.
  • Maintain regular communication with Ambassadors and provide clear operational instructions.
  • Monitor manpower coverage and escalate gaps or replacement requirements.
  • Conduct field visits to review performance, grooming, customer interaction, product knowledge, and compliance.
  • Support performance monitoring, coaching, and follow-up on KPIs and targets.
  • Coordinate onboarding, briefing, training, transfers, deployment, and replacements.
  • Maintain accurate trackers for manpower, attendance, schedules, performance, and operational issues.
  • Collect and verify field reports, photos, and supporting documentation.
  • Prepare daily and weekly operational updates for the Regional Retail Manager.
  • Follow up on open actions and ensure timely closure.
  • Support campaigns, launches, activations, peak periods, and changing operational requirements.
  • Escalate serious incidents, customer complaints, misconduct, or repeated performance issues.
  • Ensure compliance with project procedures, client guidelines, confidentiality requirements, and the Code of Conduct.

Qualifications and Requirements

  • 2–5 years of experience in retail operations, field coordination, Ambassador management, sales operations, or a similar environment.
  • Strong retail and field operations experience is highly preferred.
  • Previous experience coordinating frontline teams or multiple locations is an advantage.
  • Good understanding of store operations, shifts, attendance, customer experience, and performance targets.
  • Strong communication, organization, and follow-up skills.
  • Confidence in working with different personalities and handling operational challenges.
  • Good working knowledge of Excel, PowerPoint, trackers, and operational reporting.
  • Ability to remain calm, responsive, and solution-oriented in a fast-paced field environment.
  • Willingness to spend significant time in the field across assigned locations.

Work Environment

This is a contract position requiring significant field presence across assigned locations in the Eastern, Western, and Central Regions. The role involves direct interaction with frontline teams and close coordination with management to ensure project success.
