About the Role

International Maritime Industries is seeking a Senior Expeditor II, I to join their team. This full-time position is responsible for overseeing assigned purchase orders to ensure all specified requirements are met, including document delivery, efficient coordination, inspections, and on-time delivery. The role requires 2-5 years of relevant experience.

Key Responsibilities

  • Expedite new, missing, or returned documents/drawings from suppliers/contractors and Engineering/Operations teams.
  • Participate in project meetings to provide updates on the status of materials/services flow.
  • Provide detailed updates to all stakeholders regarding the status of supplier/contractor document submittals.
  • Offer timely information and support to internal and external stakeholders.
  • Identify disruptions in supplier/contractor submission and delivery schedules.
  • Maintain up-to-date delivery information through regular communication with assigned suppliers and relay it to the Project Team, ensuring updates in the project schedule.
  • Coordinate with the IMI warehouse/project team to ensure Goods Receipt Notes (GRN)/Service Entry Sheets (SES) are completed and posted in the ERP system.
  • Facilitate coordination between suppliers/contractors and the IMI Finance team.
  • Verify/review documents, make necessary copies, prepare transmittal letters, and forward them to the Logistics Team.
  • Assist suppliers of Cost & Freight (C&F) – Delivered Duty Paid (DDP) purchase orders in preparing shipping documents.
  • Support freight forwarding through the Logistics team with exemption descriptions and documentation preparation.
  • Assist the Logistics team in preparing required formalities for import permit applications from relevant ministries (Industry/Customs, Interior, Health), if necessary.
  • Maintain records for customs exemptions and ensure they are up-to-date in coordination with the Logistics team.
  • Fulfill additional responsibilities and miscellaneous expediting functions as required to support the Project.

Experience and Qualifications

Candidates should possess 2-5 years of experience in a relevant expediting or procurement coordination role. A strong understanding of purchase order processes, documentation requirements, and supply chain coordination is essential.

Required Skills

  • Proficiency in expediting processes and supplier management.
  • Strong coordination and communication skills with internal and external stakeholders.
  • Ability to identify and address potential disruptions in schedules.
  • Experience with ERP systems for GRN/SES completion and posting.
  • Knowledge of shipping documentation and import formalities.
  • Detail-oriented with strong organizational skills for record-keeping.
