In this role, you will be instrumental in the sales process, ensuring seamless coordination of tenders and quotations.
Key Responsibilities:
- Tenders & Quotations:
- Convert sales requirements into quotation requests.
- Prepare draft quotations in Odoo.
- Coordinate pricing with Deputy CEO and Purchasing Manager.
- Prepare and submit complete tender documents.
- Maintain records of all tenders and quotations.
- Track deadlines and send reminders.
- Prepare hit-rate reports and analyze reasons for losses.
- Send a weekly summary of spare parts tenders to the Maintenance Manager.
- Weekly Reporting & Approvals:
- Prepare weekly “Tenders & Direct Orders Status Report.”
- Include status of all active tenders (New / Under Preparation / Submitted / Awarded / Lost / Cancelled).
- Highlight participation decisions and approvers.
- Track RFQs and purchase requests.
- Highlight items requiring managerial action.
- Ensure all approvals are documented and archived.
- Send the report weekly at a fixed time.
Requirements:
- Experience in sales coordination, preferably in medical devices domain.
- Proficient with Tenders Etimad and NUPCO.
- Advanced hands-on experience with CRM systems.
- Experience in coordinating with warehouse and clearing agents to track shipments in medical sales.
- Able to connect the sales team's urgent needs with fiscal and logistics constraints of management.
- Residing in Jeddah.
