About the Role:
Provide high-level administrative support to the CEO, ensuring smooth day-to-day operations, effective communication, and optimal time management.

Job Responsibilities:
  • Calendar Management & Appointment Scheduling: Coordinate and maintain the CEO’s calendar (meetings, calls, site visits); issue reminders and gather all required materials in advance.
  • Internal & External Communication: Screen and direct incoming calls; draft and send emails on behalf of CEO; welcome visitors: prepare meeting rooms, arrange refreshments and materials; manage postal correspondence and electronic communications.
  • Document & Report Preparation: Draft and circulate minutes of meetings; prepare presentations (PowerPoint), periodic reports, and executive summaries; proofread and verify accuracy of official documents.
  • Travel & Event Coordination: Book travel (air, rail), accommodation, and manage detailed itineraries; organize in-house and off-site events (workshops, conferences, board meetings).
  • File & Records Management: Implement and maintain both electronic and paper filing systems; track various company contracts and permit expirations; remind the CEO of renewal deadlines.
  • General Administrative Support: Process purchase requests, expense reports, and petty cash transactions; monitor execution of the CEO’s decisions by liaising with relevant departments.

Minimum Qualifications:
  • Bachelor’s degree in Business Administration, Secretarial Studies, or related field.
  • Minimum 3 years of prior experience in executive secretarial roles or high-level administrative support.
  • Fluency in English written and spoken is a must.
  • Fluency in Arabic written and spoken (preferred).

Skills:
  • Exceptional organizational skills and time management.
  • Attention to detail and high degree of accuracy.
  • Ability to prioritize tasks and work under pressure.
  • Strong verbal and written communication abilities.
  • Advanced proficiency in Microsoft Office Suite.
  • Adaptability and quick response to changing schedules and priorities.
