About the Role
TXM Solutions is seeking a dedicated and experienced Fleet Incharge to join our team in Jubail, Eastern, Saudi Arabia. This full-time role requires 5-10 years of experience in fleet management, focusing on optimizing operations, ensuring compliance, and managing a large team of drivers. The Fleet Incharge will be responsible for the efficient and safe operation of our heavy vehicle fleet, contributing to overall operational excellence and cost control.
Key Responsibilities
- Manage the daily deployment and scheduling of heavy vehicles to maximize fleet utilization.
- Assign transport requests to drivers based on location, cargo type, availability, and working hours.
- Optimize vehicle routing to minimize empty kilometers and enhance operational efficiency.
- Monitor fleet movements in real-time using GPS tracking systems such as Wialon, Geotab, and WhatsGPS.
- Respond promptly to operational disruptions including breakdowns, delays, road closures, and checkpoint issues.
- Ensure transport services consistently meet project schedules and customer requirements.
Fleet Performance and Cost Control
- Monitor daily fuel consumption using FLS fuel monitoring systems and investigate any fuel deviations.
- Analyze operational data to improve fuel efficiency and reduce overall transportation costs.
- Track key metrics including fleet utilization, cost per kilometer, idle time, and empty mileage.
- Coordinate preventive maintenance schedules based on mileage and manufacturer recommendations.
- Monitor tire performance, oil changes, filters, and other maintenance requirements to minimize unplanned downtime.
- Collaborate closely with maintenance teams to ensure vehicle availability and reliability.
Driver Management and Safety
- Supervise a large team of drivers, ensuring sufficient manpower coverage across all operations.
- Prepare driver rosters, shift schedules, and leave plans to maintain uninterrupted fleet operations.
- Monitor driver productivity and evaluate performance against established key performance indicators.
- Conduct driver inductions and training on company policies, fleet tracking systems, safe driving practices, eco-driving techniques, and regulatory compliance.
- Investigate traffic violations, accidents, and incidents, implementing corrective and preventive actions.
- Ensure compliance with company HSE policies and transportation regulations, including TGA working and rest-hour regulations.
- Promote a strong safety culture among drivers and fleet personnel, ensuring safe cargo transport and protection of company assets and customer property.
Compliance, Documentation, and Reporting
- Ensure all fleet documentation remains valid, including vehicle registrations, insurance, MVPI certificates, operating cards, and driver licenses.
- Generate transport documentation through the Naql Platform and monitor cargo manifests using the Bayan System.
- Maintain accurate records for fuel invoices, maintenance records, weighbridge tickets, and fleet operational reports.
- Prepare weekly and monthly operational reports covering fleet performance, utilization, costs, maintenance, and operational issues.
- Monitor and report on fleet performance against established KPIs such as Fleet Utilization Rate, Average Fuel Consumption, Cost per Kilometer, On-Time Delivery Performance, Empty Kilometer Percentage, Preventive Maintenance Compliance, Vehicle Downtime, Driver Safety Performance, Accident & Traffic Violation Rate (with a target of Zero Major Accidents), Driver Productivity, and Operational Cost Reduction.
- Analyze operational trends and recommend improvements to increase productivity and reduce operating costs.
- Prepare management reports on fleet utilization, fuel efficiency, on-time delivery, maintenance performance, driver performance, and cost analysis.
Qualifications and Experience
- A minimum of 5-10 years of experience in fleet management, preferably with heavy vehicles.
- Demonstrated experience with GPS tracking systems like Wialon, Geotab, and WhatsGPS.
- Proficiency in using fuel monitoring systems such as FLS.
- Familiarity with the Naql Platform for transport documentation and the Bayan System for cargo manifests.
- Strong leadership and team management skills, particularly in supervising a large driver workforce.
- Excellent analytical abilities for performance monitoring, cost control, and trend analysis.
- Thorough understanding of transportation regulations, HSE policies, and compliance requirements.
