About the Role
Avensys Consulting, a global IT professional services company headquartered in Singapore, is seeking to hire an Office Manager/Secretary for its operations in Al Khobar, Eastern Province. The company specializes in enterprise solution consulting, business intelligence, business process automation, and managed services, serving a diverse client base across multiple industries.
Role Overview
The Office Manager/Secretary will provide comprehensive administrative and strategic support to the CEO, ensuring the smooth operation of the office and facilitating effective communication and workflow across departments. This full-time position requires a proactive individual with strong organizational and interpersonal skills.
Key Responsibilities
- Provide strategic support to the CEO by managing their schedule, including travel, meetings, and conferences.
- Gate communications for the CEO and represent them in select meetings.
- Prepare and distribute concise meeting minutes.
- Draft CEO correspondence and manage sensitive documents such as faxes, mail, and checks.
- Support presentation preparation and administrative tasks related to hiring, approvals, and general office management.
- Maintain office supplies inventory and ensure all office equipment is functional.
- Optimize administrative policies and procedures for efficiency.
- Liaise with external partners and internal teams, including Project, Procurement, Sales, Finance, and HR, to streamline workflows.
Qualifications and Experience
- A minimum of 3 years of experience supporting C-suite executives or senior management.
- Experience in the technology sector or other fast-paced industries is preferred.
- Proven proficiency in calendar management, document control, and stakeholder communication.
- Demonstrated ability to anticipate needs and drive efficiency through proactive problem-solving.
- The role requires 2-5 years of relevant experience.
Work Environment and Location
