About the Role
Saudi Airlines Catering Company is seeking a dedicated Admin Clerk, Dietary to join our team in Riyadh. This full-time role is central to ensuring the efficient operation of the dietary department by managing and implementing CATRION systems, maintaining optimal staffing levels, and executing a broad range of administrative tasks. The position requires meticulous record-keeping, effective coordination, and strict adherence to company policies and Saudi Labor Law.
Core Administrative Responsibilities
- Manage and implement CATRION systems to ensure process adherence and operational efficiency.
- Complete all necessary paperwork in a timely and efficient manner.
- Develop and maintain robust record-keeping systems and procedures for the department.
- Gather data, compile information, and prepare comprehensive reports as required.
- Handle monthly meal estimations and manage RO Petty cash and its safekeeping according to company policy.
- Ensure all filing is done accurately and as required.
Staffing and HR Support
- Maintain adequate staffing levels and rosters in accordance with the labor budget.
- Manage all staff administration, including staff records, name lists, organizational charts, and leave administration.
- Raise recruitment requests (RFs) for replacement staff due to resignations, terminations, or non-return from leave, maintaining a PRF register and tracking all RF forms movement and approvals.
- Update master files based on daily staff movement, specifically noting if an employee is a Replacement/Reliever.
- Inform camp bosses and site managers in advance of staff movements and email camp bosses with ticket and salary details 10 days before an employee's vacation or exit.
- Record and update all employees’ vacation plans and prepare clearance papers for departing employees.
- Collect present timesheets from sites, prepare current timesheets based on office format, obtain approval from RM/OM, and attach previous timesheets.
- Coordinate with various trainers to provide training schedules, ensure all employees are aware of schedules and have necessary documents, and ensure staff adhere to H2S training requirements.
- Prepare training materials and visual aids for FF, CPR, and FA trainers.
- Prepare RF-Increments, Transfer, and Promotions, ensuring all RFs are approved by OM/RM before sending to HR and the Jeddah office.
- Verify cost centers of all employees and prepare cost center changes based on the current staff list in the master file.
- Receive evaluations and annual appraisals, and handle salary administration and queries.
- Ensure each staff member is issued with a Job Description (JD), signed, and a copy is placed in their personal file.
Coordination and Communication
- Meet regularly with site staff to facilitate smooth operations.
- Keep the staff board and personnel records up to date.
- Forward relevant documents (RF, Bank Inquiries, Tickets, Iqama, and others) to the necessary persons for action.
- Submit all daily documents for signature to the Operations Manager (OM) and Regional Manager (RM).
- Manage staff effectively under the direction of superiors.
Cybersecurity Compliance
- Adhere strictly to all Cybersecurity policies and procedures.
- Deal with data and information according to their designated classification level.
- Avoid violating the rights of any person or company protected by copyrights, patents, or other intellectual property laws.
- Comply with Cybersecurity requirements related to the protection of user devices, Internet, software, systems, and email.
- Adhere to the acceptable use policy, utilizing CATRION information and technical assets solely for business purposes.
- Obtain the required permit from the security department or the authority owner in CATRION before hosting visitors in the company's specific sensitive sites.
- Report all Cybersecurity incidents promptly.
Qualifications and Experience
Candidates for this role should possess 2-5 years of relevant experience in an administrative capacity, preferably within a large-scale operational environment. A strong understanding of administrative processes, meticulous record-keeping, and HR support functions is essential. Familiarity with Saudi Labor Law and a commitment to cybersecurity best practices are also required.
