About the Role

The National Medical Care Company (Care) in Riyadh is seeking an OPD Supervisor for a contract position. This role is integral to ensuring efficient outpatient department operations, focusing on comprehensive patient registration, appointment management, and maintaining high standards of patient service within the facility.

Role Purpose and Scope

The OPD Supervisor is responsible for overseeing unit registration and managing the computerized appointment scheduling system. This includes maintaining the system, scheduling patients, booking, canceling, and rescheduling appointments, as well as setting up and modifying physician schedules. The role also involves updating patient no-show statuses, maintaining appointment history, and handling complex patient contacts, particularly those requiring multiple specialty appointments. The supervisor will tactfully manage unusual requests from demanding patients that may not align with standard clinic practices. Minimal supervision is provided, with only unusual problems referred to superiors. Continuous attendance at the workstation is required due to uninterrupted work requests and demands, utilizing a mainframe computer for most job activities, which necessitates in-house training and experience in complex computer processing.

Key Responsibilities

  • Ensure a superior quality of medical treatment, compassion, and understanding for every patient served.
  • Follow up on problems faced by Registration Clerks regarding company patient eligibility for treatment and develop effective management systems.
  • Coordinate with physicians and receptionists regarding patient appointments.
  • Open files for new patients and record pertinent patient data.
  • Check the financial coverage of patients and required documents.
  • Collect payments from patients and send them to the General Cashier daily.
  • Encode insurance claim forms and diagnoses into the system.
  • Answer inquiries from patients and visitors, and work as a patient advocate.
  • Manage the Outpatient Department (OPD) area to ensure efficient, effective, and high-quality service.
  • Receive requests for physician time and schedule professional time to optimize utilization.
  • Conduct initial contact with patients, ascertain needs, and screen ineligible clinic recipients with tact and diplomacy.
  • Contact patients on waiting lists, those with canceled appointments, and those who missed appointments for rescheduling.
  • Report and consult with the chief of services on irregular schedule changes requested by individual physicians.
  • Operate the computer for scheduling patients, checking eligibility, and maintaining records for no-shows, missing records, and clinic statistics.
  • Call patients or employees to remind them of their appointments two days in advance.
  • Perform other clerical duties inherent in the function relevant to scheduling and receiving patients, and additional tasks assigned by superiors.

Qualifications and Experience

  • Secondary School Certificate.
  • A minimum of five (5) years of experience, including one year in general office procedures (preferably in a clinic, hospital, or physician’s office) and at least four (4) years of work experience.
  • Demonstrated experience in Patient Services.

Required Skills and Attributes

  • Computer literate.
  • Excellent tact, courtesy, and public relations skills.
  • Strong and convincing communication abilities.

Professional Conduct and Development

The OPD Supervisor is expected to conduct work in a professional manner, maintaining patient confidentiality when required. Adherence to all department policies and procedures is mandatory. The role also involves active participation in ongoing education programs developed by the department, covering essential areas such as Department Policy and Procedures, Fire Safety, Risk Management, and Environmental Control.
