Role Overview

The Senior Associate will serve as the operational backbone for supply chain functions at the facility level. This role is critical for ensuring accurate stock records, timely replenishment, compliant storage practices, and the efficient physical flow of medical and non-medical materials. The position directly contributes to inventory performance, regulatory compliance, and the reliability of supply across all assigned locations, ensuring clinical and operational teams have necessary materials when and where they are needed.

Key Responsibilities

  • Execute daily inventory operations, including monitoring stock levels, updating ERP systems with accurate transaction data, and performing cycle counts.
  • Manage receiving processes, including inspection of incoming deliveries against purchase orders and documentation of any non-conforming items.
  • Process material issuance requests from clinical teams and departments, ensuring accuracy in item selection and quantities.
  • Facilitate inter-location stock transfers within the ERP system, ensuring accurate record updates at both source and destination.
  • Monitor stock levels against established parameters and initiate replenishment requests (Internal Requests) when thresholds are met.
  • Collect and report consumption data to support demand planning and procurement decisions.
  • Ensure all inventory transactions are accurately recorded in the ERP system on the same day of the physical transaction.
  • Maintain organized storage areas in compliance with SFDA, FEFO/FIFO, and CBAHI standards.
  • Support audit activities by providing organized and complete supply chain records.

Qualifications and Experience

  • 2-5 years of experience in supply chain and inventory management.
  • Solid understanding of inventory operations, including receiving, issuance, transfers, adjustments, and returns.
  • Proficiency in FEFO/FIFO principles and batch/expiry tracking, particularly in a clinical or regulated storage environment.
  • Familiarity with SFDA storage and handling requirements for medical supplies, devices, and pharmaceuticals.
  • Experience with ERP systems for inventory transactions, GRN creation, and stock reconciliation.
  • Proficiency in MS Office.

Required Skills and Attributes

  • Clear written and verbal communication in English; Arabic proficiency is required.
  • Ability to work effectively in a clinical environment and coordinate with healthcare professionals.
  • Physical capability to handle material movement, including lifting, organizing, and inspecting stock.
  • Strong attention to detail with a zero-tolerance approach to documentation errors and compliance shortcuts.
  • Proactive, self-motivated, and able to identify and escalate issues before they become significant problems.
  • Reliable, accountable, and consistent in daily execution.
  • Comfortable operating in a fast-paced environment with evolving processes.

Work Environment

This is a full-time position based in Riyadh. The role requires flexibility to work across multiple clinic locations as operational needs dictate. Understanding of basic safety practices, infection-control standards, and quality requirements in a healthcare facility setting is essential.
