About the Specialist Job at Elm Company
Elm Company is seeking a Specialist to provide comprehensive administrative, secretarial, and clerical support to ensure the efficient operation of the department. This full-time role is based in Riyadh and requires 2-5 years of relevant experience.
Core Responsibilities
The Specialist will manage daily administrative and clerical tasks, including organizing and maintaining calendars, appointments, and schedules. Responsibilities extend to preparing, formatting, and reviewing various documents such as letters, memos, reports, and presentations. Maintaining organized filing systems for easy access to updated documents is crucial. The role also involves handling incoming visitors, answering phone calls, and addressing general inquiries with professionalism. Furthermore, the Specialist will arrange meetings, prepare meeting rooms, and provide necessary administrative support, including recording and distributing meeting minutes when required.
Coordination and Communication Support
This role is key in coordinating communication between management, employees, internal departments, and external parties. The Specialist will receive, screen, and redirect emails, calls, and official correspondence as needed. Following up on assigned tasks, pending documents, and required approvals is also a significant part of the job. Support for travel arrangements, including hotel bookings and transportation logistics, will be provided when necessary, ensuring timely communication and proper documentation of all requests and responses.
Adherence to Policies and Procedures
The Specialist is expected to follow approved administrative policies, processes, and procedures. Ensuring all documents and correspondence comply with internal standards and approval requirements is essential. The role will support the implementation of office procedures aimed at improving efficiency and organization. Maintaining the confidentiality of sensitive information and official documents is paramount. Any identified administrative issues should be escalated to the direct manager.
Information Security and Confidentiality
Maintaining the confidentiality, integrity, and availability of documents and information is a critical aspect of this position. The Specialist must handle sensitive and confidential information strictly in accordance with company policies. Proper access control for files, records, and official correspondence must be ensured, avoiding unauthorized sharing, copying, or disclosure of company information. Any suspected information security incidents or breaches must be reported to the relevant department.
Qualifications and Experience
Candidates should possess a Bachelor’s degree in Business Administration, Office Management, Secretarial Studies, or a related field. The required experience is between 2 to 4 years in secretarial, administrative, or office support roles.
