About the Administrative Assistant Role

Bechtel Corporation is seeking an Administrative Assistant for a full-time position in Saudi Arabia. This role supports the Ar Rjum Project, a greenfield gold project located in the Central Arabian Gold Region. With a history dating back to 1898, Bechtel has a proven track record of completing complex projects globally, emphasizing the quality of its people and a commitment to successful outcomes.

Role Overview and Responsibilities

The Administrative Assistant will perform a range of administrative duties that require proficiency, accuracy, judgment, initiative, discretion, and an understanding of protocol. This position involves handling both routine and complex tasks, including coordinating travel arrangements and preparing expense reports. The ability to anticipate issues and adapt to changing priorities is essential for maintaining team efficiency and organization.

  • Assist management with decision-making activities of moderate scope.
  • Independently manage complex administrative tasks.
  • Provide administrative support of a highly responsible and confidential nature.
  • Proactively identify potential problems and changing priorities, alerting management and taking appropriate action to adjust schedules and commitments.
  • Independently complete business tasks, refer matters to other staff, forward critical items to senior management, and follow up to ensure completion.
  • Coordinate complex travel arrangements and itineraries.
  • Prepare detailed expense reports using software such as Concur.
  • Compile and distribute conference notes, meeting minutes, and resulting action items.
  • Assign document numbers and enter them into Bechtel's electronic document management system.
  • Potentially send documents to the client’s document management system and develop/implement administrative operational procedures and guidelines.

Required Qualifications and Experience

Candidates should possess a minimum of 5-10 years of related administrative experience. An Associate degree or relevant technical training is preferred. Demonstrated experience in project administration, including procedural work, client interaction, and records management, is essential. Experience on remote sites is considered desirable.

Essential Skills and Proficiencies

The role requires strong administrative skills, including the ability to develop and analyze information for studies and reports. Proficiency in using standard office software applications is necessary, with specific experience in creating spreadsheets with mathematical functions and enhancing presentation reports. Candidates must be proficient in MS Word, Excel, PowerPoint, and Outlook.

Work Context

This is a full-time position based in Saudi Arabia, supporting the Ar Rjum Project. The role demands accuracy, judgment, a high degree of initiative, discretion, diplomacy, and knowledge of protocol in all administrative functions.
