About the Role

Master-Works is seeking an experienced Administrative Assistant to provide comprehensive administrative and executive support. This full-time position involves coordinating daily office operations, managing schedules, meetings, and documentation, and ensuring efficient communication across departments to support business operations.

Key Responsibilities

  • Provide comprehensive administrative and executive support to the department and the Chief of Alternative Investments, ensuring smooth and efficient day-to-day office operations.
  • Manage calendars, schedule meetings, coordinate appointments, and organize domestic and international travel, including detailed itineraries and logistics.
  • Prepare, review, and distribute correspondence, reports, presentations, meeting materials, and other business documents with a high level of accuracy and professionalism.
  • Coordinate meetings by arranging logistics, preparing agendas, recording minutes, and following up on action items to ensure timely execution.
  • Manage incoming communications, maintain confidential records and filing systems, and handle sensitive information with discretion and professionalism.
  • Liaise with internal departments, senior management, external stakeholders, and service providers to facilitate effective communication and support departmental operations.
  • Monitor departmental priorities, support special projects, assist with administrative processes such as expense reports and procurement documentation, and ensure compliance with organizational policies and procedures.

Required Qualifications

  • Bachelor’s or Master’s degree in Business Administration, Management, or a related field.
  • A minimum of 10 years of experience in administrative, executive support, or senior office management roles, preferably supporting high-level executives.

Essential Skills and Experience

  • Strong executive coordination and stakeholder management capabilities.
  • High-level calendar and schedule management proficiency.
  • Proven experience handling confidential and sensitive executive information.
  • Demonstrated exposure to budgeting, procurement, and expense tracking processes.
  • Ability to operate effectively in fast-paced, high-level executive environments.
  • Excellent communication, organization, and problem-solving skills.
